Job Description
SUMMARY:
Performs general accounting duties for the NRA Patriot Fund, NRA Freedom Action Foundation, and NRA Civil Rights Defense Fund. Performs administrative, receptionist, and general office duties to support daily functions of the NRA Patriot Fund Finance and Grants Departments.PLEASE NOTE
This position is subject to pre-employment criminal background and credit checks.ESSENTIAL RESPONSIBILITIES
1. Assists with NRA Patriot Fund, NRA Freedom Action Foundation and NRA Civil Rights Defense Fund month-end close processes. Prepares standard monthly journal entries and general ledger account reconciliations on a timely basis, as assigned. 2. Enters invoices for payment into the accounts payable system in preparation for disbursement, including updating/verifying vendor data, invoice amounts, and account coding. Reviews grant check request exports for errors. Prepares paid invoices for filing and coordinates distribution of checks. 3. Accurately sorts, opens and timely distributes Finance and Grant Department mail to appropriate staff members daily, upon delivery from the mail room. 4. Receives cash receipts in the mail and from other NRA departments and secures until deposited. Prepares and processes deposits for all NRA Patriot Fund, NRA Freedom Action Foundation and NRA Civil Rights Defense Fund cash receipts using the desktop deposit system. Emails deposit data to individuals in Finance, Advancement, NRA Field Operations and/or others, as appropriate. 5. Enters all NRA Patriot Fund, NRA Freedom Action Foundation and NRA Civil Rights Defense Fund contributions, and other miscellaneous cash receipts into the Cash Manager system, including bank deposit, credit card, PayPal, and ACH/wire transfer activity. 6. Reconciles other contribution and revenue related accounts, including trusts receivable, promissory notes receivable, cash surrender value of life insurance, and deferred revenue. 7. Maintains filing systems in a timely and accurate manner. Assists with and coordinates documentation of the archival of files, as needed. Responsible for maintaining documentation for all NRA Civil Rights Defense Fund and NRA Patriot Fund Finance and Grant Department records maintained in storage, both within the building and off-site. 8. Performs receptionist duties of answering NRA Patriot Fund Finance and Grant Department telephone lines in a courteous manner and distributes telephone messages in a timely manner for follow up by appropriate staff member. 9. Responsible for daily logistical office functions, including ordering and maintaining all office supplies. Coordinates maintenance and repair of office equipment. 10. Assists Finance and Grant Department staff with copying, mailing and filing, as needed. 11. Functions as courier for Finance and Grant Departments to distribute materials to NRA departments and/or individual staff members as directed. 12. Coordinates special event and travel arrangements for Finance and Grant Department personnel, as needed. 13. Assists with maintenance of policies and procedures manuals. 14. Performs special projects and other duties as assigned.SCOPE:
High visibility and coordination with all NRA Patriot Fund staff members, NRA Treasury and other departments within the NRA, financial community and general public. Position functions in a deadline-sensitive and frequently confidential work environment with direct supervision. Must exercise considerable initiative, excellent judgment and discretion. No travel required. Occasional local errands and infrequent overtime required.EDUCATION AND EXPERIENCE
High School diploma required, with at least 2 years' experience in accounting functions.KNOWLEDGE, SKILLS, ABILITIES
Detail oriented with excellent organizational and follow-up skills a must. Superior telephone manners and communication skills required. Working knowledge of spreadsheet and word processing software. NetSuite and database experience beneficial but not required. Proven ability to follow instructions and accomplish tasks in a timely manner. Ability to function successfully as a team player.Pay:
