Job Description
Job Summary We are seeking a highly organized and detail-oriented Accounts Receivable Specialist to join a client's finance team. In this role, you will be responsible for managing the company's accounts receivable processes, ensuring accurate invoicing, timely collections, and precise reconciliation of customer accounts. Your expertise will support the organization's financial health by maintaining efficient revenue cycle management and adherence to accounting standards. The ideal candidate will possess a strong understanding of financial concepts, accounting software, and customer service principles, contributing to our commitment to operational excellence. The role will also include accounts payable after a while. The job is extremely fast paced and with a large distribution facility in Newport News. Duties Prepare, review, and send accurate invoices using various accounting software platforms such as QuickBooks, Sage, or PeopleSoft. Monitor customer accounts for overdue payments and follow up professionally through phone calls or written correspondence. Reconcile accounts receivable ledger with general ledger entries to ensure accuracy and resolve discrepancies promptly. Process incoming payments via checks, ACH transfers, wire transfers, and credit card transactions; apply payments correctly to customer accounts. Maintain detailed records of collections activities and update aging reports regularly to facilitate effective cash flow management. Collaborate with internal departments such as billing, customer service, and collections to resolve account issues efficiently. Assist with month-end closing activities including journal entries related to revenue recognition and account analysis. Support compliance with SOX (Sarbanes-Oxley Act) controls and GAAP (Generally Accepted Accounting Principles) standards during all financial transactions. Participate in audits by providing documentation related to accounts receivable transactions and reconciliations. Utilize technical accounting skills for analyzing financial data, performing account reconciliation, and ensuring adherence to company policies. Requirements Minimum of two years' experience in accounts receivable or related accounting roles within diverse industries such as healthcare, non-profit, or governmental sectors. Proficiency with accounting software including QuickBooks, Sage, PeopleSoft, or similar platforms. Strong understanding of financial concepts such as debits & credits, journal entries, double-entry bookkeeping, and revenue cycle management. Familiarity with SOX compliance requirements and public accounting practices enhances suitability for this role. Excellent data entry skills with high accuracy (10 key typing), analysis skills, and attention to detail. Effective negotiation skills combined with professional phone etiquette for collections calls and customer interactions. Ability to perform account analysis, account reconciliation, and apply technical accounting principles confidently. Strong organizational skills complemented by a proactive approach to problem-solving within a fast-paced environment.
