We're looking for a QuickBooks Online expert to take full ownership of our bookkeeping, so that every number in QuickBooks and Housecall Pro is one we can trust and use to run the business. About Us Bobcat Electric LLC is a family-owned electrical contractor based in Roanoke, serving residential and commercial customers across Virginia and West Virginia. Our work ranges from service calls in people's homes to commercial projects with general contractors. We like our panels neat and our systems even neater. What we don't have yet is someone who loves QuickBooks and financials as much as we love a clean panel. That's where you come in. About the Role The Full-Charge Bookkeeper serves as the company's QuickBooks Online subject-matter expert and is responsible for the accuracy of all financial records, from system setup and data entry through reconciliation and reporting. This position reports to the Vice President of Operations, who oversees budgeting and financial decision-making, and provides the timely, accurate financial information needed to support those decisions. Bobcat Electric operates two divisions. Service work is scheduled and invoiced in Housecall Pro, which integrates with QuickBooks Online. Commercial work is managed through QuickBooks Projects and billed to general contractors through monthly pay applications on Net 30 and Net 45 terms. The Bookkeeper maintains both and ensures they reconcile into a single, accurate view of company performance. Key objectives for the first year include: A consistent, on-time monthly close Full reconciliation between Housecall Pro and QuickBooks Online Accurate job costing and profitability reporting for each commercial project Timely submission of pay applications and consistent follow-up on receivables Responsibilities Service Division (Housecall Pro and QuickBooks Online) Review Housecall Pro invoices for accurate labor, materials, and sales tax, and verify that they sync correctly to QuickBooks Online. Reconcile Housecall Pro payments, card processing fees, and bank deposits, and resolve duplicate entries and sync errors. Manage invoicing and collections for property management and facility maintenance accounts billed on terms. Monitor and follow up on outstanding service invoices. Ensure that all material billing is accurate and reconciled in bank and credit accounts. Commercial Division (QuickBooks Projects) Set up each commercial job as a Project in QuickBooks Online, including contract value, schedule of values, and change orders. Prepare monthly pay applications (AIA G702/G703 or contractor-specific forms) based on percent-complete provided by the Commercial Field Superintendent, and submit them by each general contractor's billing deadline. Track Net 30 and Net 45 due dates, retainage, and conditional and unconditional lien waivers to ensure timely and complete payment. Allocate material, labor, and subcontractor costs to the appropriate project to support accurate job profitability reporting.
Company-Wide QuickBooks Online administration:
maintain the chart of accounts, division classes, bank rules, and system settings, and correct historical entries as needed.
Accounts payable:
enter and code supplier bills to jobs, reconcile supplier statements, prepare payment runs for approval, maintain vendor W-9s, and administer joint check agreements when required.
Month-end close:
complete bank and credit card reconciliations and prepare the P&L by division, job profitability, AR aging, and budget-vs-actual reports.
Payroll support:
reconcile weekly QuickBooks Payroll runs and prepare documentation for the annual workers' compensation audit.
Compliance filings:
prepare sales and use tax filings, payroll tax reconciliations (Virginia and West Virginia), and year-end 1099s.
CPA coordination:
prepare the year-end package for the company's CPA and serve as the primary contact for bookkeeping matters. Systems QuickBooks Online (including Projects and QuickBooks Payroll), Housecall Pro, Google Workspace, and Microsoft Word/Excel.
Qualifications Required:
3+ years of full-charge bookkeeping experience in QuickBooks Online (not only QuickBooks Desktop) Experience doing month-end close on your own, including bank and credit card reconciliations Experience managing both accounts receivable and accounts payable, including invoicing on payment terms and collections Experience setting up or restructuring a chart of accounts
Preferred:
