Job Description

About the Role Elegant Floors is looking for a full-time Accounting & Operations Coordinator to handle day-to-day bookkeeping and help keep the administrative side of the business running smoothly. This role will primarily focus on payroll, accounts payable, reconciliations, and general accounting support, with some additional office and operational responsibilities as needed. You'll work directly with the owner and outside CPA in a small-business environment where being organized, dependable, and comfortable wearing a few different hats is important. We use RFMS, an industry-specific accounting and operations system. Previous RFMS experience is not required, and training will be provided. What You'll Do
  • Process weekly payroll for approximately 9 employees
  • Enter, code, and pay vendor invoices and keep accounts payable up to date
  • Review timesheets, PTO, deductions, and employee changes
  • Assist with payroll tax payments and other tax-related processes
  • Reconcile bank accounts, credit cards, and other financial records
  • Maintain subcontractor records, including W-9s, certificates of insurance, and 1099 information
  • Help track job costs by coding materials and subcontractor expenses to the correct jobs based on job information provided by field and installation staff and/or the owner
  • Assist with customer invoicing, payments, and past-due accounts
  • Support purchasing and inventory-related tasks
  • Prepare reconciliations and supporting information for the outside CPA
  • Maintain organized financial and administrative records
  • Help with employee paperwork, benefits administration, and general office needs
  • Assist with RFMS upgrades and other process improvements as the business continues to update its systems What We're Looking For
  • Previous bookkeeping or accounting experience
  • Experience processing payroll
  • Experience with accounts payable and paying vendor invoices
  • Comfortable learning new accounting and business software
  • Strong attention to detail and organizational skills
  • Able to work independently and manage multiple priorities
  • Comfortable handling confidential financial and employee information
  • Experience with job costing, construction or contracting accounting, or payroll taxes is a plus
  • RFMS experience is a plus, but not required Schedule & Pay
  • Full-time, 40 hours per week
  • In-office in Shelburne, Vermont
  • Schedule can generally fall between 8:00 AM and 6:00 PM
  • $25
  • 30/hour, depending on experience
