Performs a variety of regular, recurring, and moderately complex accounting functions related to grant accounting and accounts payable. Manages data submitted through electronic Purchase Order module ensuring complete and accurate data before posting to accounting system. Assists in interpreting vendor accounts and records. Serves as part of the Fiscal Department team and acts in a lead role for timely entry and payment of rental assistance requests. Performs delivery and pick-up of fiscal materials locally. Maintains confidentiality of sensitive accounting information.WORK SCHEDULE
Monday through Friday, 8am to 5pmESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Receives and verifies all information submitted electronically and via paper for accuracy and prior payment history on invoices and statements received from our vendors. Performs electronic review, maintenance of, and transfer of data from electronic purchase order system to accounting software. Performs data entry, into accounting system, of documents not submitted electronically, as well as entry of rental assistance requests into electronic purchase order system. Matches departmentally generated electronic purchase orders with invoices and packing slips. Leads processing of high-volume or complex rental assistance and vendor transactions, ensuring compliance with funder requirements. Ensures all purchase orders have appropriate authorization and documentation. Prepares check run, ensuring that all payments are processed in a timely manner to meet required deadlines. Provides pick-up and delivery of mail and finance related items. Prepares daily cash receipts for multiple bank deposits. Establishes strong working relationships with service center staff and outside providers and vendors. Ensures records and documents are filed properly and maintained in a confidential environment. Acts as contact person for service and maintenance of office equipment, along with maintenance of the postage machine. Responsible for collecting information from the postage machine, copying machines, and agency vehicle logs at month end to assist in preparing month end journal entries.OUR IDEAL CANDIDATE WILL HAVE
High school or equivalent. Two years related postsecondary education preferred. One year of related experience at a minimum.
