Job Description

Account Payable & Receivable Associate Newcomer Supply is a laboratory supply company based in Waunakee, WI. The company manufactures and distributes products for histology and pathology laboratories throughout the country. We are hiring a new full-time Account Payable & Receivable Specialist to be part of our dedicated team of talented, detail-oriented, problem solvers. This position requires a candidate with a proven work history that demonstrates knowledge of AP and AR functions and the logic. Work task efficiency and accuracy. In this position you are responsible for a majority of AP tasks and a minority of AR tasks. We have a dedicated team centric, fun, and hard-working culture. The ideal candidate is someone who enjoys accurate detail oriented work that requires you to understand and complete AP & AR tasks.
Location:
    Waunakee, WI Job Type:
    • Full Time 1st Shift - Hourly, 8 hour shift, Monday thru Friday, start time 8:00am.
    Responsibilities:
    • Manage vendor invoices, always reconciling to receiving approval.
    • Process vendor payments. ACH, Check, and Credit Card.
    • Communicate remit information when needed.
    • Verify that transactions comply with all company and vendor financial policies and procedures.
    • Maintain vendor information in company database, set up new vendor accounts and make updates as they occur.
    • Management of all AP documents. Hard copy and digital.
    • Communicate by email and phone with vendors to address any outstanding issues.
    • Manage and maintain W-9 and Certificate of Insurance records.
    • Responsible for 1099 activities, which include proper vendor setup and year-end reporting
    • Assist in year-end Accounts Payable processes including but not limited to closing out purchase orders and assisting auditors in year-end audit.
    • Assist the primary Accounts Receivable when workload increases and as needed for additional coverage.
    • Accounts Receivable work can include posting customer invoices, entering shipping pick tickets, deposited customer payments, processing drop shipment orders.
    • Perform other duties as assigned by Operations Manager or as appropriate to the job assignment.
    Requirements:
    • Excellent listening and communication skills.
    • Proven success within the fields of transactional accounting.
    • A minimum of two years of experience in accounting operations.
    • Proficient with Microsoft Office.
    • Experience with QuickBooks or equivalent accounting software
    • Capable of handling a large volume of data and multiple projects at once.
    • Eager to learn, listen, and ask questions throughout training and competency verification.
    • Neat and legible handwriting required.
    • Strong organizational and time management skills.
    • Always disciplined in secure handling of sensitive data.
    • Ability to handle confidential matters with discretion.
    • Goal oriented. Thrives in a work environment that requires continuity and continual improvement.
    • Excels in pressure situations and meets deadlines.
    • Demonstrates professionalism throughout the work environment and with all team members.

    Education -
    Experience:
    • High school degree required.
    • Associate degree from an accredited college or university, preferred not required.
    • Two years Account Payable or Accounts Receivable work experience required.
    Physical Requirements:
    • Work will require sitting for much of the day alternating with occasional standing tasks.
    • Excellent keyboard skills.

    Birthday Cake Pay:
    $25.00 - $29.00 per hour Expected hours: 40.0 per week
