Summary/Objective The position of Accounts Payable Clerk provides clerical support for the accounts payable process. This position is responsible for the day-to-day operations of the Accounts Payable function to ensure correct and timely payment of the City's invoices that includes but is not limited to: reconciling, processing, recording, and filing payment of invoices, statements, and expense reports. This position requires confidentiality when handling sensitive information. This position requires excellent interpersonal skills when dealing with the public, co-workers, and departments, and it also requires excellent organizational skills with the ability to multi-task in a busy office setting. This position requires the efficient and effective use of the City of Beckley's email system. Responsible for invoice data entry for vendors after reconciliation of invoices, purchase orders, and the receipt of documents; 8. Prepares all remittance information to be mailed with the checks; 9. Contacts vendors and departments for unpaid invoices and makes arrangements for timely payments; 10. Reviews purchase orders with errors that includes but is not limited to: inaccurate data or duplicate entry and makes deletions; 11. Responsible for posting invoices to accounting software in a timely manner; 12. Responsible for entering utility billing; 13. Responsible for incoming mail that includes opening, stamping, and distribution to appropriate departments; 14. Responsible for the timely distribution of invoices to departments for processing and approval for payment; 15. Responsible to ensure timely follow
- up with the appropriate department (s) for payment approval of invoices; 16.
Responsible for researching invoices to determine if invoice has been issued and if not refer to the appropriate department; 17. Receives, reviews, and verifies invoices from vendors and matches any corresponding information; 18. Provides accurate and effective document preparation and records management relative to the AP function, in accordance with record retention policies and laws; 19. Provides supporting documentation for audits; 20. Responsible for the clearing of vendor credits; 21. Responsible for assisting and providing support to departments on the Accounts Payable function and timely follow-up on any outstanding items; 22. Maintains files on unprocessed invoices; 23. Possesses knowledge of generally accepted accounting principles and procedures and Governmental Accounting Standards related to the Accounting function; 24. Possesses knowledge of generally accepted office procedures, practices, systems, and equipment; 25. Possess the ability to prioritize daily workload and weekly check runs, while responding to departmental and external requests; 26. Process requisitions; 27. Provides general secretarial and administrative support, as assigned; 28. Aids independent auditors in their performance of annual audits(s); answers questions, locates materials, and explains procedures and policies, as requested; 29. Assists the public, staff, and elected officials; 30. Works with minimum supervision; 31. Possess the ability to work independently or on a team; 32. Position Type/Expected Hours of Work This position can be filled as a full-time position, part-time position, or as a temporary position. It is the expectation of the City of Beckley that job duties and responsibilities are to be completed within the established work week. Any additional hours beyond the established work week for this position must be pre-approved. In the event of an emergency, inclement weather, or special circumstances, the employee may be required to work evenings, weekends, and holidays. This position requires travel within the City of Beckley, Raleigh County, and any other travel to be determined. Required Education and Experience

- This position requires two (2) years' education and/or experience in an active office setting;

- Clear experience in the successful management of multiple and changing deadlines;
- Strong understanding of accounting concepts;
- Technical knowledge of accounts payable processes and industry practices;
- Knowledge of applicable federal, state, and local laws, rules, and regulations;

- The preferred education for this position is an associate's degree with specialized course work accounting, business, and/or related field;
- This position requires four (4) years of increasingly responsible-related experience, or any equivalent combination or related education and experience;
