Position Overview We are seeking a dependable, organized, and experienced Bookkeeper to oversee and maintain the company's day-to-day bookkeeping and financial responsibilities. This is much more than a data-entry position. The Bookkeeper will have an important role in payroll, financial reporting, job costing, accounts payable, accounts receivable, vendor management, employee records, and general office administration . With the variety of our operations, the ideal candidate must be comfortable managing multiple priorities and keeping track of numerous projects and expenses at the same time. We are looking for someone who can see the big picture while paying close attention to the details . The right candidate will take ownership of their responsibilities, communicate well with management and employees, and help provide the accurate financial information needed to make good business decisions. Key ResponsibilitiesBookkeeping & Financial Management Maintain accurate and up-to-date company financial records Record and categorize daily financial transactions Manage accounts payable and accounts receivable Prepare and process customer invoices Review and process vendor invoices Reconcile bank, credit card, and other company accounts Monitor outstanding receivables and payables Assist with month-end and year-end financial procedures Prepare financial reports for management Maintain organized financial documentation and records Assist with budgeting and financial planning Payroll & Employee Administration Process payroll accurately and on schedule Maintain employee payroll records Track employee hours, overtime, PTO, and other payroll-related information Maintain employee files and required documentation Assist with employee onboarding and paperwork Work with management to resolve payroll questions or discrepancies Maintain confidentiality of employee and financial information Job Costing & Project Accounting Because our company manages multiple projects and operations, accurate job costing is an important part of this position .
Responsibilities will include:
Track labor costs by job or project Track materials, equipment, subcontractors, and other job-related expenses Review invoices and expenses to ensure they are assigned to the correct job Monitor job costs against budgets or estimates Help management understand actual costs and job profitability Identify unusual or unexpected expenses Maintain organized records for individual jobs and projects Provide management with accurate job-cost information when needed Office Management & Administration Help manage the day-to-day operation of the office Maintain organized files and records Coordinate paperwork between the office, field employees, vendors, and management Manage company correspondence and routine administrative tasks Assist with purchasing, vendor communication, and documentation Help ensure licenses, registrations, insurance documentation, and other business records remain organized and current Assist management with reports, spreadsheets, and other administrative needs Handle confidential company information professionally Take on additional responsibilities as needed to support the company's operations What We Are Looking For The ideal candidate is someone who is organized, dependable, detail-oriented, and able to manage multiple responsibilities without losing track of the details . You should be comfortable working independently, solving problems, asking questions when needed, and communicating with people throughout the company. Qualifications Previous bookkeeping or accounting experience required Payroll experience required or strongly preferred Experience with job costing preferred Strong understanding of basic accounting principles Experience with accounting/bookkeeping software Proficiency with Microsoft Office, particularly Excel Strong organizational and time-management skills Excellent attention to detail and accuracy Ability to prioritize and manage multiple tasks Strong written and verbal communication skills Ability to maintain confidentiality Ability to work independently and as part of a team Construction, drilling, oil & gas, heavy equipment, or field-service industry experience is a plus The Right Person for This Position This position is ideal for someone who likes being involved in the business and wants to understand how the numbers connect to the actual operation . The person in this position will need to be able to switch between payroll, job costing, vendor invoices, customer billing, financial reporting, and office needs while remaining organized and accurate. We are looking for someone who will take ownership of the position , recognize problems before they become bigger issues, and become a trusted member of our management and administrative team.
