The Award Setup Analyst is an integral part of the Rush University Sponsored Program Financial Management (SPFM) team in the Sponsor Program Office within the Office of Research Affairs (ORA). The Office of Research Affairs (ORA) serves as the institutional home for research administration and oversight, dedicated to promoting, facilitating, advocating for, and supporting all research activities conducted across Rush. The Award Setup Analyst is responsible for the accurate and timely setup, maintenance, and modification of sponsored project awards in Workday. This role serves as a critical link between proposal, award, and post-award financial management, ensuring awards are established in compliance with sponsor terms, institutional policy, and regulatory requirements. This position supports Rush University's transition to Workday by executing standardized award setup processes and maintaining high-quality award data throughout the award lifecycle. Bachelor's degree 2-3 years of experience in administration or finance operationsKnowledge, Skills, & Ability:
Demonstrated proficiency with word processing, spreadsheet, and database software (MS Office skills such as Outlook, Word, Excel, PowerPoint, Sharepoint) Strong organizational skills and attention to detail Strong interpersonal, verbal, and written communication skills required. Exceptional attention to detail and ability to maintain confidential information required Ability to work successfully both independently and in team settings Excellent time management with the ability to prioritize tasks as needed Willingness to learn new methodologies, tools, and techniques Flexible work hours and travel may be requiredPreferred Job Qualifications:

Review and interpret award documents (NOAs, contracts, amendments) for financial and administrative requirements. Establish new sponsored awards and grants in Workday, including Award/Grant structure and hierarchy, Funding sources and periods, Budget setup and controls, Cost sharing and reporting requirements, while ensuring alignment between proposal data, sponsor terms, and institutional policies. Establish Projects for Internal Awards or Pilots. Process award modifications for Incremental funding, No-cost extensions (NCE), Budget revisions, and/or Administrative changes (PI, department, reporting requirements). Request sponsor set up for new sponsors as needed. Review budgets to ensure they match the award and all budget information is accurate and complete. Maintain accurate award attributes throughout the lifecycle. Review Advance account awards and coordinate with Sponsored Programs Administration (SPA) and Institutional Post Award Administrators to mitigate risks and ensure contracts are executed. Ensure award setup complies with sponsor regulations (NIH, NSF, foundations, industry) and institutional policies. Perform quality checks to ensure data accuracy and readiness for billing and financial reporting. Support audit readiness by maintaining complete and accurate award records. Correct data inaccuracies in systems as necessary. Send award expiration notifications to the PI, department administrators, and Institutional Post Award team. Serve as a primary contact for Institutional Post Award Administrators regarding award setup questions. Collaborate closely with Sponsored Programs Administration (SPA), Institutional Post Award Administrators, and Research Administration leadership. Identify process improvements and contribute to standard operating procedures (SOPs). Other duties as assigned. Rush is an equal opportunity employer.
