Job Description

LA Restore 360 is seeking an experienced Insurance Claims & TPA Coordinator to manage insurance-related job files from initial assignment through billing and closeout. This is not a general office administrator position. We are specifically looking for someone with hands-on experience working with property insurance claims, insurance carriers, adjusters, and Third-Party Administrator (TPA) programs , preferably within the property restoration industry. The ideal candidate understands how restoration claims actually move: assignment received, customer contacted, response requirements met, documentation collected, portal updates completed, estimates and supporting documentation submitted, approvals followed up on, invoices processed, and outstanding items driven through completion. You will work closely with our mitigation, contents, reconstruction, estimating, operations, and accounting teams to make sure our insurance jobs remain compliant, documented, current, and moving toward billing and collection. What You'll Do Manage insurance and TPA job files from initial assignment through closeout Receive and process new insurance/TPA assignments Monitor TPA portals, email, and other assignment channels for new jobs and required actions Coordinate with insurance adjusters, TPAs, customers, project managers, and technicians Track and maintain required TPA response times, SLAs, milestones, and documentation deadlines Ensure required work authorizations, photographs, moisture documentation, scopes, estimates, invoices, completion documents, and other claim documentation are properly collected and submitted Maintain accurate and timely updates within TPA/carrier portals and company systems Track outstanding approvals, supplements, documentation requests, and other claim issues Identify stalled files and proactively follow up with adjusters, TPAs, project managers, and internal team members Coordinate with accounting to ensure completed work is properly billed and submitted without unnecessary delays Assist with insurance-related accounts receivable and collection follow-up Maintain organized, audit-ready claim files Help ensure the company maintains strong compliance and performance scores with insurance and TPA partners Support branch leadership with reporting on open claims, aging files, missing documentation, billing status, and outstanding action items Required Experience Candidates should have direct experience working with property insurance claims and/or restoration insurance programs. We're particularly interested in candidates who have experience with one or more of the following: Property restoration companies Insurance carrier property claims departments TPA/program vendor networks Independent adjusting firms Insurance restoration billing or claims administration Water, fire, mold, contents, or reconstruction claims You should understand terminology and workflows involving: Property insurance claims Adjusters and carriers Third-Party Administrator (TPA) programs Claim documentation requirements Service-level agreements and response deadlines Mitigation and reconstruction documentation Estimates, invoices, supplements, and approvals Claim/file status management General office administration experience alone is not sufficient for this position. Preferred Qualifications 2+ years of property insurance claims, restoration, or TPA experience Experience working directly inside insurance/TPA portals Restoration industry experience strongly preferred Familiarity with Xactimate and/or XactAnalysis Familiarity with restoration management software Working knowledge of water, fire, mold, contents, and reconstruction claims IICRC knowledge or certifications are a plus Strong understanding of insurance claim documentation and billing workflows Who Will Be Successful Here You are highly organized, persistent, and comfortable owning a large number of active files at once. You don't simply upload paperwork — you understand why the documentation is required, what is missing, what the next step is, and who needs to take action to keep the claim moving. You are comfortable calling an adjuster about an outstanding approval, following up with a project manager for missing documentation, checking a TPA portal for approaching deadlines, and working with accounting to make sure completed work gets billed. Most importantly, you take ownership of the file.
