This role is responsible for managing new claim intake, scheduling, and prioritization for homeowners and contractor referrals. You will be one of the first points of contact and will be responsible for gathering claim information, coordinating appointments, determining urgency, and ensuring new opportunities are handled promptly and efficiently. The ideal candidate is highly organized, comfortable managing a constantly changing schedule, and able to quickly identify which claims require immediate attention. Responsibilities Handle incoming claim referrals and intake from homeowners, contractors, and referral partners Gather and verify property, insurance, loss, and contact information Schedule inspections, appointments, and follow-up calls efficiently Prioritize new claims based on urgency, type of loss, availability, and company needs Maintain and actively manage the team calendar and daily schedule Coordinate scheduling between homeowners, contractors, public adjusters, and field representatives Respond quickly to urgent or time-sensitive claims and adjust schedules when priorities change Confirm appointments and communicate scheduling updates with all parties Collect estimates, invoices, photos, reports, insurance information, and other required documentation Send and follow up on agreements, authorizations, signatures, and missing documents Create organized claim files and maintain detailed CRM notes Ensure files are complete and properly prepared before being transferred to the claims team Follow up consistently with homeowners and contractors to keep the intake process moving Identify scheduling conflicts, incomplete files, or delays and proactively work to resolve them Manage multiple new claims, appointments, and priorities simultaneously Requirements Experience in public adjusting, property insurance, restoration, scheduling, dispatching, contractor coordination, or client intake preferred Excellent organization and time-management skills Strong ability to prioritize tasks and make scheduling decisions in a fast-paced environment Comfortable managing a changing calendar and handling last-minute scheduling needs Strong phone, communication, and customer service skills Detail-oriented with excellent follow-up Ability to manage multiple files and deadlines at once Experience with CRM and scheduling systems; Monday.com experience is a plus Familiarity with property damage claims involving water, mold, fire, storm, etc. is a plus Ability to work independently and take initiative Bilingual English/Spanish is a plus What This Role Is New claim intake Scheduling and calendar management Prioritizing urgent and time-sensitive claims Homeowner and contractor communication Document collection and follow-up Coordinating with field staff and public adjusters Keeping new claims organized and moving forward
