We are seeking an experienced Warranty Administrator to join our team. In this role, you will assist in analyzing warranty claims for applicability, coordinate reimbursement processes, and manage customer payments. The Warranty Department plays a vital role in closing and submitting warranty claims for various Original Equipment Manufacturer (OEM) parts and vendors.
Key Responsibilities:
Monitor warranty decisions to ensure compliance with contractual agreements. Edit, code, and close warranty jobs as per company policies. Submit warranty claims in the appropriate claims system. Review short-paid claims and follow up to secure full payment. Coordinate with the Service Department to ensure proper terminology for coding claims. Maintain oversight of open claims to ensure past due claims are resolved. Communicate with other locations to clarify warranty processes, policies, and procedures. Perform general office duties such as filing and document organization. Prepare and close repair orders while ensuring timely billing and claim submissions. Collaborate with other warranty team members to achieve departmental objectives. Provide clear explanations of warranty coverages to employees and customers.
Job Requirements:
Previous experience in dealership warranty administration preferred. Strong PC skills, particularly in Microsoft Office Suite (Word, Excel, Outlook). Excellent customer service skills, with the ability to communicate effectively and professionally both in writing and verbally. High attention to detail, strong organizational skills, and the ability to prioritize tasks and meet deadlines in a fast-paced environment. Positive attitude and professional appearance. Experience in past claims recovery and/or accounting is a plus. CDK experience is a plus. Some technical background knowledge in cars or diesel trucks. Previous dealership experience preferred.
