About Us We are a New Jersey-based Managing General Agent (MGA) that serves as Third-Party Administrator (TPA) for a select group of insurance carriers. We issue policies on behalf of our carriers and have limited claims-handling authority for claims, while also managing the claims intake and file maintenance process for the rest of our carriers. Position Overview We're seeking a detail-oriented Claims Assistant to join our team and support our claims operations. This is an administrative and coordination role focused on maintaining claim file integrity, facilitating communication between adjusters and insureds, and ensuring accurate documentation throughout the claims lifecycle.
Key Point:
This role does not require claims licensure. All claims decision-making authority comes from the Claims Manager (your supervisor) or directly from the carrier. You will not be making coverage determinations or settlement decisions.
Primary Responsibilities File Maintenance & Documentation:
Create and maintain claim file diaries in our claims management system Update claim files with information/documentation provided by adjusters Track and document claim reserves, paid amounts, and settlement activity through claim closure Facilitate claim payments and manage accurate reserves for claims that fall under our handling authority Ensure all claim documentation is accurate, complete & properly organized
Claims Coordination & Communication:
Create file, assign independent adjusters or refer claims to TPA/carrier upon claim intake Gather and verify claim information retail agents and insureds Serve as liaison between retail agents, insureds and adjusters for claims submissions
Administrative Support:
Relay authority and instructions from the Claims Manager to appropriate parties Maintain organized records of all claim communications and file updates Support the Claims Manager with reporting and documentation needs Ensure compliance with carrier file maintenance standards and SLA requirements
What You'll Need Required:
2+ years of experience in claims environment with MGA, TPA, carrier, wholesaler, etc. Strong understanding of insurance terminology and claims processes (basic level) Excellent written and verbal communication skills High attention to detail for accurate file maintenance Proficiency with Microsoft Office Suite and database/system navigation Ability to work independently and manage multiple claim files simultaneously Attention to deadlines and ability to prioritize workload Preferred (but not required): Associate's or Bachelor's degree Claims experience in a property & casualty line of business (Dwelling/Fire or Homeowners, Commercial Property, etc.) Familiarity with claims management software (AMS360, Switch, ClaimCenter, etc.) Vertafore is a plus
Not Required:
Claims adjuster license College degree Advanced claims negotiation experience

Compensation & Benefits Salary Range:
$50,000- $55,000 annually, based on experience and education Full health; dental and vision insurance available; 401(k) with match; 2 weeks PTO Hybrid schedule option available after training
