Monday-Friday 8:30 a.m.-5:00 p.m. Evening, weekend, and on-call availability required Job Summary The CYF Service Coordinator & Compliance Manager is responsible for ensuring the integrity, compliance, and effectiveness of Children, Youth, and Family (CYF) services at Vision Towards Peace Counseling Services. This role oversees referral coordination, provider compliance, quality assurance, documentation standards, and contractual obligations across all in-home CYF services. The position serves as a primary liaison between in-home providers, families, referral sources, and internal leadership, ensuring that services are delivered in accordance with regulatory requirements, court expectations, contractual standards, and agency policies. The role requires strong organizational, communication, and analytical skills, as well as the flexibility to support providers during evening and weekend hours when services occur in the community. Key ResponsibilitiesReferral & Case Coordination Manage, track, and coordinate all new CYF service referrals. Ensure accurate, timely, and complete case documentation within the KIDS system and AdvanceMD. Schedule and conduct client intakes for CYF services. Maintain all pertinent service-related schedules, including family teaming meetings and required CYF provider calls. Follow up with providers regarding missing documentation, service notes, and compliance issues. Court & Legal Coordination Coordinate and ensure in-home providers attend required court hearings. Attend court hearings in person and virtual. Obtain, document, and track follow-up information, court orders, and next steps resulting from hearings. Maintain court-related documentation, schedules, and records to ensure compliance with legal requirements. Serve as a point of coordination between providers, leadership, and families regarding court-related matters. Provider & Community Support Provide on-call support to in-home providers as needed during evenings and weekends, up to 9:00 p.m. Conduct routine check-in/supervision with providers to assess service delivery, compliance, and client needs. Perform quality assurance reviews of in-home service delivery and documentation. Provide guidance, coaching, and training to providers on documentation standards, regulatory compliance, and best practices. Attend all Vision Towards Peace-sponsored events as required. Compliance, Quality Assurance & Program Oversight Conduct routine audits and quality assurance reviews to ensure compliance with CYF contracts, regulatory requirements, and agency standards. Monitor provider performance, documentation accuracy, and adherence to service expectations. Identify gaps in service delivery and recommend corrective actions or process improvements. Develop, implement, and maintain quality assurance protocols to support continuous improvement. Maintain and manage in-home provider schedules. Ensure provider mileage is accurately tracked and submitted monthly. Personnel, Onboarding & Administrative Oversight Maintain complete, accurate, and up-to-date personnel files for all in-home providers. Coordinate the onboarding process for new in-home providers, including documentation collection, system access, and training requirements. Post open in-home provider positions on approved recruitment platforms (including Indeed), in accordance with organizational guidelines. Coordinate hiring activities for in-home providers, including application screening, scheduling interviews, and participating in interviews as assigned. Collaborate with leadership to extend offers, coordinate start dates, and ensure pre-employment requirements are completed. Maintain job postings and ensure vacancy information is current and accurate. Track, maintain, and inventory all agency-issued devices assigned to in-home providers and other designated staff. Participate in weekly supervision and leadership meetings as required. Budget & Resource Management Maintain and monitor program budgets by tracking expenditures against allocated budget categories ("budget buckets"). Monitor remaining funds and proactively flag overspending or depletion risks. Communicate regularly with leadership regarding budget status and the need to reallocate funds between budget buckets, as appropriate. Monitor uninsured and underinsured clients and coordinate with providers and case management to ensure insurance coverage is obtained prior to the exhaustion of OBH or other designated funds. Performance & Staff Management Conduct 30-, 60-, and 90-day performance evaluations for direct reports, as applicable. Provide ongoing supervision, support, and performance feedback to in-home providers. Ensure staff and providers meet quality, compliance, and performance expectations. Qualifications & Skills High school diploma or bachelor's degree in social work, human services, or a related field preferred; equivalent experience accepted. Experience in CYF services, court coordination, compliance, quality assurance, or contract management preferred. Familiarity with the KIDS system and AdvanceMD preferred; willingness to learn required platforms required. Knowledge of CYF regulatory standards, documentation requirements, and service expectations. Ability to manage sensitive information while maintaining confidentiality and professionalism. Strong organizational, communication, time-management, and problem-solving skills. Commitment to cultural competence and effective service delivery for diverse populations. Flexibility to work evenings, weekends, and participate in on-call coverage as needed. Work Environment & Schedule Combination of office-based administrative work and community-based coordination. Evening and weekend availability required based on service needs. On-call responsibilities may extend up to 9:00 p.m. while providers are in the community.
