Position Summary The Compliance Specialist will play a pivotal role in ensuring our organization adheres to all relevant laws, regulations, and internal policies. The Compliance Specialist will assist in developing and implementing compliance related policies and procedures aimed at mitigating risks and ensuring adherence to legal requirements.. Essential Duties and Responsibilities Accurately complete licensing and compliance documents, resolve outstanding compliance issues, and ensure timely delivery of finalized materials to the Licensing Manager. Monitor and respond to email communications promptly and professionally, maintaining effective correspondence with internal teams and external regulatory bodies. Assist with the preparation and filing of licensing compliance documents, ensuring all submissions meet applicable state laws and internal standards. Contribute to the creation and implementation of compliance-related policies and procedures aimed at reducing risk and ensuring legal conformity. Regularly evaluate existing policies, procedures, and practices to confirm alignment with current laws and regulations. Identify potential compliance risks and recommend improvements to strengthen internal controls and regulatory adherence. Assist with document archiving or retrieval for audits or historical references. Complete assigned projects and miscellaneous tasks as directed by supervisors, supporting the overall goals of the Compliance team. Regular, on-site attendance is an essential job function due to the need for secure access to systems, collaboration on sensitive technical matters, participation in operational meetings, and hands-on involvement. Marginal Functions Build, maintain and promote relationships with team members, peers across disciplines, and all other company team members ensuring effective coordination of communications and services affecting clients. Attend webinars and training to stay up to date on best practices related to the company and department. Provide backup coverage for other administrative or compliance staff during absences. Participate in team meetings or cross-functional discussions to provide compliance-related insights when requested. Provide occasional support for special projects, such as research or process improvement initiatives. Complete projects and other duties as assigned by supervisor. Knowledge, Skills, and Abilities Detail-oriented with strong attention to accuracy in documentation and compliance records. Excellent written and verbal communication skills for effective interaction with stakeholders at all organizational levels, including management, employees, and external regulators. Strong team player with the ability to collaborate effectively within cross-functional teams. Capability to multitask and prioritize tasks efficiently in a dynamic work environment. Strong time management and organizational skills to meet deadlines and manage multiple projects simultaneously. Sound ethical judgment and integrity to uphold compliance standards and foster a culture of ethical behavior within the organization. Highly motivated with a strong work ethic, capable of working both independently and collaboratively with minimal supervision. Understanding of professional and industry standards and practices relevant to compliance functions. Readiness to adapt to evolving regulatory environments and industry standards. Commitment to continuous learning and professional development in the field of compliance. Education & Experience Associate or bachelor's degree in Business Administration, Finance, Accounting, Law, Compliance, or related field (preferred) or related experience required or equivalent combination of experience, skills, education (including other relevant non-traditional degree programs, or job training programs) preferred. Experience in compliance, risk management, auditing, regulatory affairs, or a related field, including internship experience, preferred. Technical proficiency to navigate compliance-related software and systems effectively. Experience in Microsoft Office software (Outlook, Teams, Excel, PowerPoint) and demonstrated ability to learn other applications as needed. Required Licenses and/or Certifications Not Applicable.
