Job Description
Maintenance Coordinator & Field Compliance Associate On Point Property Management — Decatur, IL Full-Time (30-40 hours) | Hourly | Reports to: Managing Broker / Operations Position Summary This role keeps On Point's residential and commercial portfolio (primarily residential) running on two fronts: coordinating maintenance from the office and handling inspection, compliance, and light repair work in the field. The associate triages and schedules work orders in AppFolio, dispatches and follows up with vendors, conducts property inspections, and performs light hands-on maintenance to reduce vendor trips. They are the company's eyes in the field and the hub that keeps repairs moving to completion. Maintenance Coordination Receive, triage, and prioritize tenant maintenance requests in AppFolio by urgency and habitability impact Schedule and dispatch vendors and in-house resources; track work orders through to completion Confirm completed work, close out orders, and follow up on tenant satisfaction Obtain owner approvals for repairs exceeding spending thresholds before work proceeds Coordinate make-ready turns between tenants to minimize vacancy days Maintain vendor list, scheduling, and basic cost tracking Field Inspection & Compliance Conduct move-out inspections with thorough photo documentation tied to deposit disposition Perform periodic/annual interior inspections, drive-by exterior inspections, and lender/insurance/HOA inspections as needed Inspect commercial properties for exterior/common-area condition, building systems, and tenant compliance with lease maintenance obligations Document property condition with standardized photo reports Flag lease-compliance concerns (unauthorized occupants/pets, exterior upkeep, vehicles) and post notices Verify smoke/CO detectors and other safety items Go onsite to assess maintenance requests in person — distinguishing true repairs from tenant-caused damage or habitability issues Light Maintenance Perform light repairs on the spot: lock changes, smoke/CO detector batteries and units, filters, lightbulbs, minor adjustments, and similar small fixes Manage keys, lockboxes, and signage across the portfolio Haul equipment, debris, and materials to job sites and the local landfill as needed Complete miscellaneous field assignments as directed Qualifications Valid Illinois driver's license and clean driving record Primary use of the company car; must be comfortable occasionally driving the company truck and towing a trailer to job sites or the landfill Basic working knowledge of residential and commercial properties and common repair issues Light handyman/maintenance ability and willingness to do hands-on work Comfortable with smartphones and software (AppFolio experience a plus; will train) Strong attention to detail, especially on photo documentation Reliable, organized, and able to work independently Must pass a background check (role involves access to occupied homes and company keys) Working Conditions Combination of office/desk coordination and field work across the Decatur/central Illinois area Regular driving in the company car during business hours, with occasional truck and trailer use for hauling Physical demands include walking properties, climbing stairs, loading/unloading trailers, and occasional lifting
