Status Full-Time Location Frankfort, KY Supports Executive Leadership Team Company AE Company Position Summary Due to continued company growth, AE Company is creating a new Executive Assistant & Compliance Administrator position to provide executive support to the Executive Leadership Team while coordinating key company compliance activities. This position manages meetings, travel, communications, follow-up, and confidential administrative needs while also maintaining licensing, contract, insurance, and corporate compliance processes across AE Company and its subsidiaries. Key Responsibilities Provide day-to-day executive support to the Executive Leadership Team, including time management, meeting coordination, travel arrangements, correspondence, document preparation, and follow-up on action items. Prepare meeting materials, maintain confidential records, coordinate leadership priorities, and assist with special projects and company initiatives. Maintain and renew business and contractor licenses, registrations, permits, corporate filings, and related compliance deadlines. Coordinate administrative contract review and routing; track approvals, executed agreements, amendments, key terms, and deadlines, and escalate items requiring CFO, legal, insurance, or operational review. Coordinate Certificates of Insurance, endorsements, bonding information, insurance renewal documentation, and subcontractor/vendor compliance records. Maintain company policies, SOPs, controlled documents, corporate records, and centralized compliance calendars. Support audits, claims documentation, regulatory requests, legal document coordination, and other compliance-related projects. Coordinate with internal departments, brokers, attorneys, vendors, and other outside advisors as needed. Perform other duties as needed or assigned. Strong proficiency with Microsoft Office, Microsoft Teams, calendar and meeting tools, and electronic document-management systems. Executive support, compliance, contract administration, construction administration, insurance, risk, or office administration experience is preferred. Construction or electrical contracting experience and a related bachelor's degree are preferred, but not required.
