Job Description

Position Overview Tomahawk Crane and Rigging is looking for a organized and detail-driven DOT Compliance Clerk to join our operations team. This position is responsible for managing the administrative side of our DOT compliance program, ensuring our fleet, drivers, and company records are always current, accurate, and audit-ready. The ideal candidate is proactive, deadline-conscious, and comfortable working with both office staff and field personnel to keep our compliance program running smoothly. Key Responsibilities Vehicle Licensing & Titling Track and process vehicle and equipment registrations, ensuring all tags and titles are current and properly filed Coordinate title transfers for newly acquired or sold equipment Manage IRP (International Registration Plan) apportioned plates and IFTA fuel tax filings as applicable Maintain organized records of all fleet registration documents and renewal deadlines Liaise with the Tennessee Department of Revenue and other state agencies as needed Driver Qualification & DOT Onboarding Administer the full DOT onboarding process for new CDL drivers, including collection and verification of required documentation Obtain and review MVR (Motor Vehicle Records) for new hires and annually for current drivers Collect and maintain driver qualification files (DQ files) in compliance with
FMCSA 49 CFR
Part 391 Track CDL license classes, endorsements, and expiration dates; notify drivers and management of upcoming renewals Ensure medical examiner certificates are current and properly logged in the FMCSA National Registry FMCSA Clearinghouse Register and manage the company's FMCSA Drug & Alcohol Clearinghouse account Conduct pre-employment full queries and annual limited queries for all covered drivers Process driver consent forms and ensure timely submission of required Clearinghouse reporting Work with the designated C/TPA (Consortium/Third-Party Administrator) to coordinate drug and alcohol testing records Track and follow up on any return-to-duty requirements or follow-up testing obligations Fleet Compliance Records Maintain driver logs and ELD (Electronic Logging Device) records in accordance with
FMCSA HOS
regulations Track annual DOT vehicle inspections, ensuring all units are inspected and defects are documented and resolved Monitor oversize/overweight permits for crane and rigging moves; coordinate permit applications with operations team Maintain up-to-date insurance certificates and ensure cab cards are current in all vehicles Reporting & Audits Maintain a compliance calendar to proactively manage all renewal and reporting deadlines Prepare documentation packages for DOT audits, safety reviews, and internal compliance checks Assist safety staff with accident/incident reporting obligations to FMCSA and OSHA as required Generate regular compliance status reports for management Qualifications Required High school diploma or GED required; Associate's degree or higher preferred 1-3 years of experience in DOT compliance, fleet administration, transportation, or a related administrative role Working knowledge of FMCSA regulations (49 CFR Parts 382, 383, 390, 391, 395) Familiarity with the FMCSA Drug & Alcohol Clearinghouse Strong proficiency with Microsoft Office (Word, Excel, Outlook) Exceptional organizational skills and ability to manage multiple deadlines simultaneously High attention to detail and commitment to accuracy Preferred Experience in crane, rigging, heavy haul, construction, or trucking industry Familiarity with
IRP/IFTA
registration processes Experience with oversize/overweight permitting Knowledge of ELD platforms (e.g., Fleet, Cost, and Care, Samsara, or similar) Experience working with a C/TPA for drug and alcohol program management Competencies Strong written and verbal communication skills for working with drivers, managers, and state/federal agencies Discreet and professional when handling sensitive driver records and medical information Self-motivated with the ability to work independently and stay ahead of deadlines Team player who can build trust with field personnel and office staff alike Comfortable researching regulatory updates and keeping the compliance program current
Pay:
$20.00 - $24.00 per hour
