Admin Reports to: Director of Operations SUMMARY The Organizational Readiness & Compliance Coordinator supports LUPE in maintaining effective, consistent, documented, and sustainable organizational systems, compliance processes, and operational requirements across departments and affiliated entities. Reporting to the Director of Operations and collaborating with leadership, staff, legal counsel, and external partners, the Coordinator supports organizational readiness, compliance operations, internal controls, quality management, training administration, accreditation tracking, regulatory calendars, documentation management, policy implementation, risk follow-up, and corrective-action tracking. The Coordinator translates legal, regulatory, accreditation, insurance, funder, and organizational requirements into clear processes and actionable steps; maintains systems for tracking requirements, deadlines, documentation, and outstanding actions; conducts approved quality and internal-control checks; identifies gaps and potential lapses; coordinates follow-up and resolution; and escalates unresolved or time-sensitive matters to the appropriate leadership.

The Coordinator maintains the systems that make organizational requirements visible, documented, timely, verifiable, and review-ready. Department directors retain decision-making authority and accountability for the substantive work, approvals, professional judgment, personnel, finances, program quality, legal and funder requirements, and outcomes within their areas.

La Unión del Pueblo Entero (LUPE) is a social justice, community-building, membership organization. LUPE has a sister organization, LUPE Votes, a separate, but related, nonprofit organization that is exempt from federal income tax under section 501(c)(4) of the Internal Revenue Code. Although LUPE and LUPE Votes share a common goal of supporting immigrants and low-income people in Rio Grande Valley, and nationally, they are separate organizations with their own board of directors and a set of employees at the two organizations, including the person filling this position, share their time between the two organizations. This has no effect on salary or benefits.
ESSENTIAL DUTIES AND RESPONSIBILITIES 1.
Organizational Compliance & Readiness Manage LUPE's organization-wide compliance and readiness systems, including calendars, trackers, dashboards, checklists, and documentation processes. Monitor federal, state, contractual, accreditation, insurance, training, governance, and operational requirements and ensure internal deadlines support timely completion. Conduct periodic readiness reviews, identify gaps or overdue requirements, coordinate corrective actions, and escalate significant or unresolved issues to the Director of Operations. Maintain organized, review-ready documentation demonstrating compliance, approvals, certifications, submissions, and corrective actions. Continuously improve compliance and administrative systems to strengthen accountability and reduce organizational risk. 2. Records, Internal Controls & Quality Management Support implementation of organizational records-retention and document-management practices and ensure required records are organized, accessible, and maintained appropriately. Maintain an inventory of approved internal controls and conduct periodic reviews or spot checks to identify documentation gaps, inconsistent practices, or control issues. Track findings, corrective actions, and recommendations arising from audits, assessments, consultations, insurers, funders, legal counsel, and other authorized reviews. Provide regular quality-management and internal-control updates to the Director of Operations. 3. Staff Onboarding & Training Compliance Manage post-hire compliance and orientation requirements, including required training, acknowledgements, certifications, and position-specific requirements. Maintain organization-wide training calendars, matrices, completion records, certificates, and renewal schedules. Coordinate training logistics, reminders, make-up requirements, and follow-up with employees, supervisors, and Human Resources. Report outstanding or recurring training-compliance issues to leadership and support corrective action. 4. DOJ Recognition & Accreditation Maintain LUPE's DOJ recognition and accreditation records, renewal schedules, supporting documentation, and organizational information. Coordinate recognition renewals and accreditation-readiness activities, including documentation collection, validation, training records, and required organizational summaries. Maintain current records for DOJ-accredited representatives, including accreditation status, renewal requirements, continuing education, and supporting documentation. Conduct periodic readiness reviews and report outstanding requirements to Social Services leadership and the Director of Operations. 5. Entity, Legal & Insurance Compliance Maintain organizational entity records, compliance calendars, registrations, filings, governance documentation, and related requirements across applicable jurisdictions. Support

compliance systems, training, lobbying tracking, and appropriate documentation of operational separation and resource sharing, in coordination with leadership, Finance, and legal counsel. Maintain organization-wide insurance records, policies, certificates, renewal schedules, and related requirements and coordinate information requested by brokers and carriers. Identify and escalate legal, financial, insurance, entity, or compliance matters requiring specialized review or decision-making. 6. Risk, Safety & Event Readiness Support organizational risk, safety, emergency preparedness, business continuity, and resilience systems. Maintain risk and incident action plans, emergency-readiness documentation, safety training records, and corrective-action tracking. Manage a standardized event-readiness process covering applicable approvals, contracts, insurance, safety, staffing, accessibility, communications, data, and other organizational requirements. Coordinate post-event closeout and after-action processes and track resulting corrective actions. Perform other related duties as assigned. EXPERIENCE A
bachelor's degree in business/Administration/Nonprofit Management or a similar degree is preferred. Five years of HR, Operations, Administration, or Organizational Compliance experience are also required.
LANGUAGE SKILLS
Ability to effectively present information to top management, public groups, and/or boards of directors. Fluency in written and spoken English and Spanish forms is required.
MATHEMATICAL SKILLS
Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
PHYSICAL DEMANDS
Ability to sit, walk, stand for extended periods, and concentrate intensely on pertinent issues.
WORKING CONDITIONS
Office environment. Work from mobile units and travel throughout the U.S. and as needed to improve, gain, and develop resources for the organization.
CERTIFICATES, LICENSES, REGISTRATIONS A
valid Class "C" Driver's License is required. Must be computer literate and have working knowledge of MS Word, Access, and Excel or equivalent applications.
REPORTING RELATIONSHIPS
The Compliance Coordinator reports directly to the Director of Operations.
