ZA Railroad Services, LLC is seeking a highly motivated, detail-oriented Permit Coordinator to manage the permit acquisition process. The Permit Coordinator will support field operations by preparing, submitting, monitoring, and facilitating applications for required state and local permits, including county and municipal permits. The ideal candidate is a proactive problem solver who can anticipate issues, communicate effectively, and help keep projects moving forward. Responsibilities Prepare, submit, and track permits related to construction projects, ensuring compliance with applicable state, local, county, municipal, and customer contract requirements. Monitor permit application status, track legal and operational deadlines, and provide timely updates to internal teams. Coordinate resolution of discrepancies, issues, or obstacles that may delay permit approval. Collaborate with office staff, engineers, and local or county agencies to support a smooth permit approval process. Maintain accurate permitting documentation, including applications, approvals, renewals, extensions, compliance records, sketches, supporting documents, invoices, payments, communication records, and final permits. Monitor changes in regulatory requirements and update internal procedures as needed to support ongoing compliance. Review project plans and specifications to identify potential permit or compliance concerns early in the process. Experience Experience in construction project permitting or a related field is preferred but not required. Knowledge of safety standards, regulatory requirements, and compliance practices relevant to construction or transportation-related work is preferred. Strong written communication skills with the ability to prepare clear, accurate, and thorough permit submissions. Ability to manage multiple tasks and deadlines efficiently. Excellent verbal communication skills for working with internal teams, government agencies, and local building departments. Requirements Exceptional attention to detail and strong organizational skills. Previous permitting experience with a transportation company or permit service provider is a plus. Ability to manage and prioritize multiple work assignments with strict deadlines. Highly motivated with a strong work ethic and the ability to perform well under pressure. Self-starter with the ability to work independently and follow through on assigned tasks. Proficiency in Microsoft Office applications, including Excel, Outlook, and Word. Availability to take driver calls after hours when needed. Willingness to travel annually for training and conferences.
