Job Description

Overview The Part-Time DHCD/Federal Grant Administrator is responsible for the administration, compliance, financial tracking, and reporting requirements associated with Mercy House's grant-funded programs. This position ensures compliance with all applicable federal, state, and grantor requirements while supporting the Executive Director, contracted bookkeeping services, and program staff in maintaining accurate and timely grant management practices. This position plays a critical role in preserving funding continuity and maintaining compliance standards for grant-funded programs that support Mercy House's mission and operations. Reports To Executive Director Works collaboratively with contracted bookkeeping services, program staff, and the Finance Committee as appropriate. Estimated Time Commitment 18-24 hours per week Contract/Part-Time Position Primary Responsibilities Administer DHCD and other federal, state, and private grant requirements. Prepare and submit CAMS reimbursement requests, remittances, and supporting documentation. Monitor grant expenditures and ensure spending aligns with approved grant budgets. Track grant performance measures, reporting deadlines, and compliance requirements. Maintain complete and audit-ready grant files, including award documents, budgets, contracts, and financial records. Coordinate with bookkeeping services to reconcile grant expenditures and supporting documentation. Prepare or assist with quarterly, annual, and special grant reports required by funding agencies. Review financial and program documentation for compliance with grant requirements prior to submission. Monitor changes to grant regulations and communicate compliance requirements to Mercy House leadership. Assist with audit preparation and respond to requests related to grant-funded programs. Maintain grant tracking systems for reimbursement requests, expenditures, and reporting deadlines. Provide grant administration support during staffing transitions to ensure uninterrupted compliance and funding. Qualifications Minimum three (3) years of grant administration, grant compliance, or financial oversight experience. Experience with government-funded grants strongly preferred. Experience with DHCD, HUD, Continuum of Care, or similar federal and state grant programs preferred. Strong knowledge of financial documentation requirements and internal controls. Demonstrated ability to interpret grant guidelines and regulatory requirements. Proficiency with Microsoft Excel and standard financial reporting systems. Excellent organizational skills and attention to detail. Ability to work independently while collaborating effectively with staff and leadership. Preferred Qualifications Nonprofit grant administration experience. Experience managing reimbursement-based grants and financial reporting requirements. Familiarity with audit preparation and grant monitoring processes. Experience working with CAMS or comparable grant management systems. Compensation $40-$45 per hour, commensurate with experience. Independent Contractor or Part-Time Employee status to be determined by Mercy House.
