Job Description
The Office of Safe Environment at the Pastoral Center is seeking a qualified Safeguarding Compliance Coordinator. The Safeguarding Compliance Coordinator is responsible for providing administrative and compliance support to the Office of Safe Environment in support of diocesan employees and volunteers. The position routinely interacts with all diocesan locations including Pastors, Principals, Business Managers and Bookkeepers and Diocesan employees. Additional interaction with Pastoral Center staff and internal offices including Schools, Human Resources and Finance is frequent, as is interaction with external contacts including vendors and other affiliated organizational and Catholic Diocese representatives.
Duties and Responsibilities:
BACKGROUND SCREENING
Process employee and volunteer screenings including Fieldprint, ScreeningOne and Child Protection Services screenings. Additionally responsible for Clergy and Religious background screening Administer background screening databases to finalize background screenings in the system. May require pushing data through, contacting locations for completion, uploading clearance letters or other responses as needed. Work with Payroll team on new hires / rehires / terminated reports. Liaison with the following organizations Office of Background Investigations FBI Criminal Records Virginia Central Criminal Records Exchange (VA State Police) Department of Social Services Central Registry of Child Protection Services (CPS) Work with Offices of Christian Formation and Evangelization to ensure accuracy of volunteer background screening for specific diocesan events (ex: DYC & Work Camp) Support and train Safe Environment Contacts on policy and procedure and on background screening and training processes. Responsible for ensuring timely payment and documentation of receipts of payment with multiple departments, both internal and external to include Finance, Payroll and External Agencies Conducts location compliance reviews and work with HR team to provide data for on-site compliance visits. VIRTUS Assist and act as backup with VIRTUS program online administration to include: Ensure all employees/volunteers receive 'Protecting God's Children for Adults' training, acknowledge the required documents and complete background checks. This would be monitored through the various external databases (VIRTUS, UKG, etc.) Post agreed upon training dates on VIRTUS Online to allow for participant registration. Assist VIRTUS users and local administrators with database questions, verifications, account activations and updates. Receive participant sign-in sheets and enter certified participants into VIRTUS Online database for continued training via training bulletins. Scans sign in sheets. Inactivate terminated employees in the VIRTUS system. Conduct location reviews to ensure compliance with the USCCB's Charter for the Protection of Children and Young People.OTHER:
Support the Office with Child Abuse Prevention Month events and activities. Work with the Manager and Director to collect data for the USCCB Audit Provide administrative support as required Partner with the Office of Human Resources (including Payroll and Benefits) to ensure accurate documentation of records in the UKG system Assists with overall Office of HR and Safe Environment team events as neededQualifications:
High school diploma, related Associate's degree preferred, and 3 or more years of related administrative experience.Additional qualifications include:
Excellent oral and written communication skills Process/project management and/or organizational skills Demonstrated ability to maintain confidentiality Proficiency in MS Office (Word, Excel, Outlook) and MS Windows Knowledgeable of Church governance, practice and the nature of priesthood and vocationWorking Conditions:
The position of Safe Environment Coordinator is full-time (35 or more hours per week); however, hours will vary due to work demands, travel and meeting/conference attendance. Normal working hours are Monday - Friday, 8:30 a.m. - 4:30 pm. Some night and weekend work may be required.
