Job Description
Job Overview We are seeking an energetic and detail-oriented Import Correspondence Coordinator to join our dynamic logistics team. In this vital role, you will manage the flow of import documentation and communication, ensuring seamless coordination between carriers, customs authorities, and clients. Your proactive approach will help optimize transportation processes, maintain compliance with international trade regulations, and foster strong relationships with clients and partners. This position offers an exciting opportunity to be at the heart of global supply chain operations, driving efficiency and customer satisfaction through effective communication and meticulous record-keeping. Key Responsibilities
- Coordinate and track correspondence with customs brokers, freight forwarders, and overseas suppliers regarding shipment status, documentation, and delivery timing
- Prepare, review, and process import documentation (commercial invoices, packing lists, bills of lading, certificates of origin, health/inspection certificates) for accuracy and compliance
- Monitor shipment schedules and proactively communicate delays, discrepancies, or customs holds to relevant internal stakeholders (purchasing, warehouse, sales)
- Assist in compliance with U.S. Customs and Border Protection (CBP), FDA, USDA, and other applicable import regulations for seafood and beef products
- Assist with maintaining organized records of import transactions, tariffs, duties, and compliance documentation
- Assist with tracking and report on tariff classifications and duty costs; flag any compliance or cost concerns to management
- Assist with resolving discrepancies between purchase orders, shipping documents, and received goods
- Support the import team with data entry and updates in NetSuite (or other ERP/import tracking systems)
- Communicate with internal teams to align expected inventory arrival with production and sales planning Qualifications
- 2+ years of experience in import/export coordination, customs documentation, or international logistics (food/perishable goods experience a plus)
- Familiarity with import regulations for food products (FDA, USDA, CBP) preferred
- Strong written and verbal communication skills for coordinating across time zones and with international partners
- High attention to detail and strong organizational skills
- Proficiency in Microsoft Office; NetSuite or similar ERP experience a plus
- Ability to manage multiple shipments and deadlines simultaneously
