Job Description
Business Overview:
The Public Sector Lockbox business is a 24/7 operation that provides a wide range of services to government clients, helping them manage their receivables and critical documents. The functions of this business include Mailroom, Batching, Scanning, Dispatch and Data Entry, all carried out within a POD or small team environment. In this role, you'll be expected to support production across all four shifts, including holidays and weekends when needed. All candidates must successfully complete a government-required background check before starting. There may also be times when extended hours are needed to complete job requirements. Position Overview The Support Analyst is a key part of the Public Sector Lockbox Operations team, providing hands-on support to both the team and leadership. The main focus of this role is managing access controls for more than 500 employees at the Newark, Delaware lockbox, a 24/7 facility running across four shifts. Beyond access control, this role also covers supply inventory management, operational reporting, and general administrative support. Because this work regularly involves confidential client and employee information, a high level of professionalism, discretion, and attention to detail is essential. Expanded detail of these functions is below. Key Responsibilities Access Control Management- 35% Initiate and maintain physical access controls Verify access control eligibility based on Treasury Folder clearance Create and activate access badges following strict client (US Government) security guidelines, managing all on-boarding responsibilities Provide appropriate level-based system and entry access within outlined client security guidelines Perform maintenance on all badging records (name changes, reissue and lost etc.
- badge destruction, removal of system and entry access, locker clearance, and provide termination notification to compliance manager per security guidelines
- all within 24 hours of notification Audit participation and Compliance Support Maintain exemplary organization of access control documentation to ensure zero audit findings in frequent internal, external, and client audits on access controls.
- 25% Maintain constant awareness of critical lockbox supply inventory levels. Monitor, maintain and order unique, client-specific supplies across multiple vendors for Delaware Lockbox, adjusting based on shifting volume demands as needed Access P2P, MarketPlace, etc. to fulfill all orders
- handling quotes, invoices, purchase orders, returns and follow-ups with multiple vendors Build and maintain good working relationships with supply vendors, reaching out professionally for quotes and to resolve any issues.
- 25% Record all errors flagged through the manual Intercept process on a daily basis. Log transmittal discrepancies identified by the operations team throughout each shift, timely escalating any issues that require attention from the leadership team. Track and maintain daily attendance records for contractor staff to ensure accurate staff reporting and vendor accountability. Other Duties as needed
- 15% Effectively partner with operational vendors such as RES, housekeeping, and assorted equipment vendors to ensure contractual obligations are met Submit departmental Marketplace and Technology tickets as needed Accurately prepare and submit departmental travel and expense reports within required timeframes Prepare for frequent client tours and senior management events (site, materials, and meeting space preparation) As needed, prepare senior management presentations capturing departmental metrics and analysis.
Job Qualifications:
High School diploma or GED required, BS/BA preferred U.S. Citizenship or Permanent Residency (green card) is a requirement for this position Required to pass an extensive background check that is renewed every 5 years 1- 3 years of relevant, administrative or office manager experience, in lockbox operations environment preferred.
