We are seeking an experienced, results-oriented Dental Treatment / Financial Coordinator who thrives on leadership, growth, accountability, and exceptional patient care. This is a hands-on leadership, treatment coordination, and growth role for someone who understands both the business and patient sides of dentistry. What You'll Own Confidently present comprehensive treatment plans and financial options. Educate patients on the long-term value of recommended dental care. Help increase case acceptance for Invisalign, restorative dentistry, comprehensive treatment, full-mouth cases, and smile design. Track pending and unscheduled treatment and maintain effective follow-up systems. Monitor case acceptance percentages and identify opportunities for improvement. Create an environment where patients feel educated and supported rather than pressured. Collaborate with the doctor and clinical team to create a seamless transition from diagnosis to treatment. Financial Performance & Insurance Monitor daily production, collections, and financial performance. Manage accounts receivable and insurance aging. Maintain a strong understanding of dental procedures, billing codes, PPO insurance workflows, and insurance terminology. Verify dental insurance benefits and clearly explain estimated patient financial responsibility. Oversee collections, payment arrangements, and patient balances. Confidently present third-party financing options, including CareCredit, Cherry, and Alphaeon. Ensure financial policies are communicated and upheld consistently. Help maintain a 98%+ collection percentage. Scheduling & Practice Growth Manage the schedule strategically to maximize productivity while maintaining an exceptional patient experience. Maintain optimal doctor and hygiene schedule utilization. Identify scheduling gaps and proactively work to fill productive opportunities. Reduce unscheduled treatment and strengthen patient retention and reactivation. Support internal and external marketing initiatives that contribute to practice growth. Understand the relationship between scheduling, case acceptance, patient retention, production, and collections. Coordinate communication between the doctor, hygienists, assistants, specialists, and administrative team to ensure seamless patient care. Foster a professional, positive, solutions-oriented work environment. Work independently while collaborating closely with Dr. Aldama and the clinical team. Patient Experience Welcome and engage patients with a warm, friendly, professional demeanor. Develop long-term relationships with patients and help them feel known and cared for. Ensure a seamless experience from the initial phone call and reception through treatment presentation, scheduling, and checkout. Communicate confidently and compassionately about treatment, insurance, finances, and next steps. Maintain the personalized, concierge-level experience expected of a boutique dental practice. Operations & Compliance Oversee daily front-office operations and administrative workflow. Manage revenue posting, reporting, and reconciliation processes. Monitor practice KPIs and present monthly performance reports to the doctor. Maintain HIPAA compliance and patient confidentiality. Assist with budgeting, supply management, and operational expenses. Identify inefficient systems and proactively recommend solutions. To succeed in this position, you should be: ✔ An experienced dental leader and/or treatment coordinator ✔ Highly organized, financially sharp, and detail-oriented ✔ Confident presenting comprehensive and high-value treatment ✔ Comfortable discussing money, financing, and patient financial responsibility ✔ Experienced with dental insurance, PPO plans, billing terminology, and dental codes ✔ Experienced in scheduling and managing a productive dental schedule ✔ Able to lead and hold a team accountable while maintaining a positive culture ✔ A strong problem-solver who doesn't need to be micromanaged ✔ Motivated by measurable goals, KPIs, bonuses, and performance ✔ Growth-driven and proactive rather than reactive ✔ An excellent communicator with doctors, team members, and patients ✔ Fluent in English and Spanish ✔ Comfortable with computers, reporting, spreadsheets, and dental practice-management technology Curve Dental experience is preferred , but experience with Open Dental, Dentrix, or another major dental practice-management system is valuable. Experience working in a boutique, relationship-driven, comprehensive or cosmetic dental practice is strongly preferred. Experience Requirements Minimum 1 year of dental management and/or treatment coordination experience required Strong understanding of dental procedures and treatment planning required Demonstrated experience with treatment presentation and patient financial coordination Dental insurance and PPO experience required Previous leadership experience strongly preferred Compensation & Performance Bonuses We believe leaders should be rewarded when they create measurable growth. High-performing leaders can realistically earn $80,000+ annually.
