Primarily Monday through Friday 7:30A.M. to 4:00P.M.EXPECTED WEEKLY HOURS
: 40 hours; occasionally may exceed normal hours for meetings and/or trainings.GENERAL DESCRIPTION
Monitor and manage Lisbon Water Department's finances. Utilize the provided software and other tools to keep accurate records. Utilize this information to provide financial statements, aid in providing direction for budgets, help reduce costs and handle financial decisions.DUTIES:
Accounts Payable:
o Prepare the Accounts Payable documentation on a weekly basis, including entering invoices, printing reports and checks, having the warrant signed by the Board, having the checks signed by the Town Treasurer (or designee), and then mailing the checks to vendors. o Forwarding all invoices to the General Manager for review and approval o If directed by the General Manager, following up with vendors with any invoice questions or to report invoices for products not received or services not rendered o Following up on any stale checks by contacting the vendor and either voiding and reissuing the payment, or voiding the payment and sending it to Maine Unclaimed FundsAccounts Receivable:
o Assist the Business Manager on a monthly basis with the quarterly water billing; § Prepare the monthly report of accounts with unusually high or unusually low usage compared to the prior quarter; Make outreach to those customers; o Prepare invoices for customer services and update the general ledger accordingly o Input payments received into accounting system o Verify prior day cash up completed by Business Manager; complete cash up on any days when working till end of day; o Assist with Business Manager with monthly disconnects; o Assist the Business Manager with creation of payment arrangements; o Travel to bank two to three times per week to deposit payments received o Prepare monthly invoice for Town of Lisbon for shared services;Financial Reconciliations:
o Monthly reconciliation of cash in bank accounts o Receive the monthly aged trial balance from the Business Manager and update the relevant Yearly MPUC spreadsheet with this data; print the aged trial balance if working until end of day on last day of the month; o Assist the General Manager and Business Manager with audit preparation as requested o Assist General Manager and Business Manager with closing out the fiscal year and opening the new fiscal year o Create journal entries for non billed payments such as cell tower lease payments, bank interest, etc.- Office Management o Responsible for daily opening procedure (turning on lights, setting up computers/printers, bringing out cash till, checking the drop box, checking voicemails left since closing) o On any day when working until end of day, responsible for closing procedures (putting away cash till, shutting down computers/printers, updating any physical calendars, locking drawers/doors, turning off lights) o Primary customer support (answering the office phone, coming to the window, responding to emails) including inputting work orders and scheduling maintenance/operations as needed; o Filing records in accordance with applicable record retention schedule • Fulfill all other duties as assigned by the Lisbon Water Department General Manager.
REQUIREMENTS
Work Authorization:
Must be legally authorized to work in the United States.Education and Experience:
- High school diploma or equivalent.
- One to two years experience in an equivalent position.
- Must have and maintain a valid Maine driver's license free from violations.
Skills and Knowledge:
- Experience in Microsoft Office Word, Excel, Outlook, and QuickBooks.
- Excellent customer service skills including oral and written communication.
- Must be detail oriented and able to multi-task in a fast-paced environment.
- Must be able to work independently and as a team member.
