This role partners closely with food and beverage leaders to help maintain accurate reporting, control costs, and keep daily administrative processes running efficiently. The ideal candidate brings strong analytical skills, sound judgment, and the ability to balance financial coordination with hands-on operational support.
Responsibilities:
Manage food and beverage inventory activity by tracking counts, updating product costs, receiving orders, and reviewing variances to support accurate financial records. Process invoices from collection through coding and submission, ensuring complete documentation is delivered on time for finance and accounts payable review. Prepare recurring reports on sales, labor, consumption, events, and departmental costs, and share insights with leadership for weekly, monthly, and post-event review. Support payroll administration by entering and reconciling timekeeping information, identifying discrepancies, and resolving corrections before deadlines. Coordinate purchasing needs by creating requisitions, submitting purchase orders, and working with vendors and department managers to secure required supplies. Maintain operational and event-related data within point-of-sale and related business systems, including item setup, pricing updates, attendance details, and reporting accuracy. Review vendor statements and commission records to identify missing support, resolve outstanding items, and keep financial documentation complete. Assist with departmental scheduling, uniform coordination, linen orders, and other administrative needs that contribute to smooth daily operations. Complete month-end food and beverage reporting requirements, including inventory support and other corporate submissions, within established timelines. Participate in meetings and provide operational support during events as needed to help maintain service standards and customer satisfaction. Associate degree from a two- or four-year college or university, or comparable related education and experience. At least 2 years of experience in financial analysis, food and beverage administration, or hospitality operations support. Working knowledge of inventory control, invoice processing, purchasing coordination, and cost reporting in a hospitality or restaurant setting. Strong proficiency in Microsoft Excel with the ability to organize data, reconcile records, and prepare clear financial reports. Familiarity with pricing analysis, restaurant operations, and food and beverage financial processes. Ability to manage multiple deadlines with a high level of accuracy, organization, and attention to detail. Effective communication skills and the ability to collaborate with finance, operations, vendors, and venue leadership. Experience using point-of-sale or operational systems for reporting, item maintenance, and event or sales tracking is preferred.
