Position Overview Flying Plow Farm is looking for a sharp, detail-orientated, and self-motivated Financial Coordinator to join our team. This role combines day-to-day bookkeeping and federal grant administration. If you have hands-on QuickBooks experience, can master federal reporting systems, and excel at working independently in a fast-paced farm and food business, we want you on our team. This role works closely with the leadership team and advisors. About Flying Plow Farm Flying Plow Farm is a working Certified Organic farm and local food distribution operation based in Rising Sun, MD. Through The Flying Plow, LLC, we operate a wholesale food hub connecting regional producers to institutional and retail buyers, and manage an active portfolio of federal and state grants — including USDA programs — that support our mission of building resilient local food systems. We're a small, mission-driven team that moves fast, values precision, and takes our administrative responsibilities seriously.
Maintain meticulous records in QuickBooks Desktop, managing accounts payable/receivable, bank reconciliations, and precise expense categorization.
Grant & Fund Accounting:
Accurately code grant-related expenditures to maintain a strict separation between grant funds and general operating accounts.
Weekly Market & Agency Reporting:
Manage weekly reporting cycles, including the precise tracking and submission of Maryland Market Match sales and token/match data.
Financial Reporting & Summaries:
Assist with monthly, quarterly, and annual financial summaries as needed.
Year-End Support:
Support the annual financial close process and serve as a reliable liaison with the farm's external advisors.
Grant Administration & Reporting Grant Lifecycle Management:
Manage federal and state grant reporting cycles, including progress reports, financial reporting, and compliance documentation.
Timeline Tracking:
Maintain comprehensive grant calendars, track deliverables and deadlines, and proactively flag upcoming compliance requirements.
System Administration:
Navigate Grants.gov Workspace and various state/federal grant portals; active familiarity with SAM.gov and UEI management is preferred.
Agency Relations:
Coordinate directly with program officers and serve as a primary point of contact for granting agency inquiries.
Audit Readiness:
Organize and maintain meticulous grant files, supporting financial documentation, and audit-ready records.
Reporting Support:
Assist with quantitative data collection and drafting narrative sections for grant reports as needed. Required Qualifications Hands-on experience with QuickBooks Desktop Proficiency in
Google Workspace:
Gmail, Drive, Docs, Sheets, Calendar Intermediate to advanced Excel skills (formulas, pivot tables, data formatting) Strong written communication and documentation skills 2+ years of experience managing grants (USDA, State of Maryland, or similar agencies strongly preferred) Discretion and professionalism with confidential financial and operational information Ability to work independently and take full ownership of projects from start to finish Strong organizational skills with a sharp eye for detail and process tracking Excellent time management skills and a proven track record of meeting deadlines Preferred Qualifications Experience with Grants.gov Workspace, SAM.gov, and UEI registration processes Background in agriculture or food systems Familiarity with USDA or federal grant reporting systems and processes Experience supporting LLC or small business financial administration Comfort working in a farm or rural business environment Work Environment & Schedule This is a part-time position estimated at approximately 20 hours per week, with some flexibility on scheduling. The first 90 days are expected to be fully in-person at our Rising Sun, MD location as you onboard and learn our systems. After that initial period, hybrid work options are available for qualified tasks. Hours may increase modestly around year-end and grant reporting periods.
