About the Role Equity Legal Services, Inc. (ELS), a nonprofit public interest legal services organization, seeks a detail-oriented, part-time Operations & Finance Coordinator to run the day-to-day financial and general administrative duties of a small, active office. Working closely with the Director, this role owns core financial workflows — accounts payable and receivable, invoicing, and payroll preparation — while keeping office systems, vendor relationships, and case-support workflows running smoothly. The ideal candidate is organized, discreet, comfortable with cloud-based tools, willing to work with community members and partners, and able to manage recurring deadlines with minimal oversight. Potential to increase to 30 hours per week with increased pay and benefits. Key Responsibilities Finance & Bookkeeping Run daily financial operations for the organization, subject to the Executive Director's approvals Take full responsibility for bill payments and vendor payments in BILL, and manage receivables Prepare and send invoices, and complete the information required to receive and process incoming invoices Prepare and collect W-9 forms from vendors and contractors Prepare, review, and submit payroll for the Executive Director's approval Order office supplies as needed Collect, organize, and save receipts for office purchases and forward them to the accountant Review bank statements Scheduling & Meeting Coordination Calendar staff meetings, coordinate meeting times, and gather availability Send virtual links and arrange meeting spaces as needed Arrange court reporting services Legal & Document Support Prepare documents, including notices of deposition Maintain files within a cloud-based document management platform — saving, organizing, and updating documents Insurance, Benefits & Compliance Update insurance, benefits, and renewal terms; coordinate with the insurance broker at each renewal period and in the interim Prepare documents for annual audits Other Other duties as assigned within the scope of the Operations & Finance Coordinator role Qualifications Required Bachelor's degree in Business, Accounting, or other related fields. Strong financial background and office management experience may be considered in lieu of formal education. 5+ years of experience running daily financial operations, including bookkeeping, vendor management, preparing and processing payroll, and reviewing and reconciling bank statements. Proficiency with basic accounting or bookkeeping software and common office and financial productivity tools (e.g., spreadsheets, word processing, online collaboration platforms). Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a remote environment. Experience with QuickBooks Comfortable working in back-office operations while also interfacing with community members. Willingness to read voluminous material to understand the communities served for connectedness to this work. Preferred Experience as a paralegal or working in a law office environment Experience with PACER and filing documents Experience with BILL and Paylocity Experience working with discovery documents
