Financial Coordinator

About Us We are a fast-growing local vacation rental management and real estate company located in downtown Newport. Our team works in a dynamic, service-focused environment managing vacation properties, guest reservations, homeowner relationships, vendor coordination, and real estate transactions. We are seeking an experienced and highly organized Financial Coordinator to oversee the company's day-to-day financial activities. This is an important role within our growing team and is ideal for someone who is financially capable, detail-oriented, and comfortable working in a fast-paced small business where priorities can change quickly. Position Overview The Financial Coordinator will manage accounts payable and accounts receivable, process guest payments, coordinate vendor and homeowner payouts, oversee utility payments, and maintain accurate financial records. The successful candidate will take ownership of financial processes, identify discrepancies, meet deadlines, and help the company strengthen its systems as the business continues to grow. Key Responsibilities Oversee accounts payable and accounts receivable. Process and track guest payments, refunds, security deposits, and outstanding balances. Prepare and process vendor payments accurately and on time. Coordinate and review homeowner payouts. Manage utility bills and other recurring property expenses with tenants and homeowners. Review invoices, receipts, statements, and supporting documentation. Reconcile payments and investigate discrepancies. Monitor failed or overdue guest payments and coordinate follow-up. Maintain organized and accurate financial records. Prepare financial reports for company leadership. Assist with budgeting, cash-flow tracking, and general financial oversight. Communicate professionally with guests, homeowners, vendors, and internal team members. Work with outside accountants and financial professionals as needed. Help improve financial procedures and internal controls as the company grows. Protect confidential financial, guest, homeowner, and company information. Qualifications Previous experience in financial administration, bookkeeping, accounts payable, accounts receivable, or a related role. Strong financial and analytical skills. Excellent attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Comfortable working independently and taking ownership of responsibilities. Strong organizational, problem-solving, and communication skills. Proficiency with spreadsheets, online payment platforms, and standard office software. Professional judgment when handling confidential financial information. Comfortable working in a fast-paced, growing small-business environment. Preferred Qualifications Accounting or bookkeeping experience. Experience with QuickBooks or similar accounting software. Experience in vacation rentals, hospitality, property management, or real estate. Familiarity with property-management software and payment-processing systems. Experience preparing owner statements, processing vendor payments, or reconciling property-level expenses.
