Job Description
Orthodontic Scheduling & Financial Coordinator Freelove Orthodontics and Smile Design Kent, WA Job Details Full-time $22 - $29 an hour 1 hour ago Benefits Paid holidays Health insurance Dental insurance 401(k) Paid time off Employee discount Paid sick time Qualifications Computer operation Spanish Patient question and concern management Finance Practice management software Attention to detail Computer skills Patient education Dental care patient education Full Job Description Orthodontic Scheduling & Financial Coordinator — Freelove Orthodontics & Smile Design (Kent & Sammamish) $22-$29/hour DOE | Full-time, 4-day workweek | No weekends | No evenings Be the operational heartbeat of a modern orthodontic practice — the person who keeps the schedule flowing, the finances organized, and patients feeling genuinely taken care of. Freelove Orthodontics & Smile Design is a two-location practice led by Dr. Cameron Freelove, with offices in Kent and Sammamish. Our Sammamish location is co-located with Lake Sammamish Kid's Dentistry (Dr. Annikka Freelove, pediatric dentist), so our patients get truly coordinated care across the family. Why this role matters The Scheduling & Financial Coordinator is one of the most impactful positions in the practice. You're the first voice patients hear on the phone, the person who makes their first visit feel effortless, and the trusted expert they turn to when they have questions about insurance, payment plans, or their account. You keep the schedule running smoothly and the business side of the practice healthy — all while making every patient interaction feel warm and personal. This is also a role with real room to grow. You'll be cross-trained as a Treatment Coordinator and step into that role as needed — guiding prospective patients through their treatment options and helping them start their journey toward a new smile. If you're someone who likes variety, wants to develop a broader skill set, and enjoys being genuinely essential to how a practice runs, this role is built for you. What matters most to us We care far more about who you are than what you've done. If you're warm, reliable, organized, and genuinely enjoy helping people, we can teach you the rest. What you'll do Greet patients in person and by phone as their first point of contact Maintain a smooth, efficient daily schedule and handle new patient scheduling Verify dental insurance and submit claims Present financial options and payment plans, supporting the Treatment Coordinator during new patient consults Serve as the liaison between patients and insurance companies Manage accounts receivable and patient collections with professionalism and empathy Post payments and reconcile accounts Cross-train as a Treatment Coordinator and step into that role as needed, guiding new patients through treatment options and helping them start care with confidence What we're looking for (must-haves) Friendly, reliable, organized, and genuinely detail-oriented Strong written and verbal communication Comfortable having warm but direct conversations about money Confident presenting information to patients and families, or eager to develop that skill Basic computer proficiency Team-minded with excellent follow-through Nice to have (but we're happy to train the right person) Dental or orthodontic office experience Familiarity with dental insurance (verification, benefits, claims) Experience with Greyfinch (our practice management software) Spanish speakers — valued and compensated accordingly The schedule Full-time, 4 days per week (our offices are open Monday-Friday, and we'll work out your specific schedule together). Time is split between our Kent and Sammamish offices. No weekends, no evenings. Compensation & benefits $22-$29/hour depending on experience 4-day workweek — a built-in extra day off every week Health insurance Paid time off Paid holidays 401(k) Complimentary orthodontic treatment for team members All inquiries kept confidential How to apply Visit freeloveorthodontics.com to get a feel for our practice, then send your resume with a short cover letter telling us about yourself and why this role interests you.
