About the Role The Finance and Sales Administrator is a hands on support role on our Finance team. You will help keep our inventory healthy, our product costs accurate, and our sales data clear, so leadership and account managers can make smart decisions about what to make, what to reorder, and where to grow. Whimsocal designs and sells licensed and original products to major retailers across the country. Every new item needs a cost and profit check before it goes into production, every bestseller needs to stay in stock, and every slow seller needs to be caught early. This role sits right in the middle of that work, partnering closely with our Finance Analyst and supporting Sales, Production, and Accounting. This is a great fit for someone who is organized, detail oriented, comfortable in Excel, and wants to build a career in finance or business analysis. You will learn how a consumer products company really runs, from factory costs to retail sell through. What a typical week looks like Updating inventory and sales reports and flagging items running low or not moving Pulling factory quotes, freight, and royalty costs to help build a P&L for a new item Preparing reorder recommendations and tracking open purchase orders Building a sales snapshot for an account manager before a customer meeting Updating the company goals tracker and year over year performance numbers What success looks like Inventory and sales reports are accurate, on time, and easy for the team to use Cost data is current so new item P&Ls can be built quickly Stock issues are caught early, before they turn into missed sales or extra inventory The Finance and Sales teams see you as a reliable partner for numbers and follow through Duties and Responsibilities 1. Inventory and Replenishment Monitor product inventory levels and availability Help forecast replenishment needs and prepare reorder recommendations for review Track open purchase orders and inbound shipments and flag delays Flag low stock, overstock, and slow moving items 2. Costing and Profitability Support Gather costing inputs such as factory quotes, freight, duties and tariffs, and royalty rates Maintain item cost data and help prepare P&L models for new items and customer programs Check margins against customer pricing before items move to production 3. Sales Reporting and Analysis Pull and maintain weekly and monthly sales and sell through reports by customer, brand, and rep group Help identify top and underperforming items and support phase out and reorder recommendations Keep dashboards and trackers current for company goals and year over year performance 4. Project Support Assist the Finance and Sales teams with new projects Develop an understanding of customer account terms Collaborate with other departments to ensure project completion 5. Meeting and Tradeshow Preparation Generate sales reports and data for customer meetings, line reviews, and tradeshows Assist with analyzing meeting notes to determine next steps 6. Additional Duties Develop a strong knowledge of the company's products and their features Assist with completing customer paperwork and keeping customer information up to date File account contracts and documents Light phone duty Other duties as assigned by management Qualifications Bachelor's degree in Finance, Accounting, Business, or a related field, or equivalent experience 1 to 3 years of experience in finance, inventory, sales operations, or a similar analytical role Strong Excel skills, including pivot tables, lookups, and building simple reports Highly organized and detail oriented, with the ability to manage deadlines across several projects Clear communicator who is comfortable working with Sales, Production, and Accounting Experience with an ERP or inventory system, and in consumer products or wholesale, is a plus Pay The pay range for this role is $22 to $27 per hour.
