Finance & Operations Manager
Job Description
Description We are looking for a Finance & Operations Manager to oversee financial stewardship and operational coordination for a mission-driven organization in Los Angeles, California. This role combines hands-on accounting leadership with day-to-day business support, ensuring accurate reporting, stable cash management, and efficient internal operations. The ideal candidate brings strong nonprofit financial knowledge, sound judgment, and the ability to manage multiple priorities across budgeting, payroll, systems, and vendor relationships.
Responsibilities:
- Oversee the organization's accounting activities in QuickBooks, including transaction coding, class tracking, accounts payable processing, and configuration of budget-related controls.
- Complete the monthly close process by reconciling accounts, reviewing financial activity, and preparing reliable financial statements for leadership review.
- Monitor liquidity and provide regular visibility into cash position so leadership can make informed operating decisions.
- Partner with program leaders on a recurring basis to align spending, revenue tracking, and program activity with financial records.
- Facilitate finance-focused meetings by presenting reporting, discussing performance trends, and supporting informed committee decisions.
- Develop and maintain the annual operating budget with executive and board leadership, and revise projections during the year when conditions change.
- Manage grant, contract, membership, and event-related finances by building budgets, tracking performance, and ensuring spending remains within approved limits.
- Prepare funder financial reports, maintain time allocation records across funding sources, and support compliance with grant and contract requirements.
- Coordinate membership billing and renewals in collaboration with internal teams while maintaining accurate integration between Wild Apricot and QuickBooks.
- Lead the annual audit process and support tax-related reporting requirements, including documentation for contractors and year-end compliance tasks. Requirements
- 5+ years of experience in full-cycle accounting, bookkeeping, or finance operations, preferably within a nonprofit environment.
- Strong proficiency with QuickBooks or QuickBooks Online, including reconciliations, reporting, and budget tracking.
- Experience managing accounts payable, accounts receivable, payroll, and month-end close responsibilities.
- Demonstrated knowledge of grant accounting, fund accounting, and financial oversight for contracts or restricted funding sources.
- Ability to prepare for audits and support financial compliance activities, including 1099 reporting and documentation management.
- Familiarity with financial and operational systems such as Expensify, membership platforms, or similar integrated tools.
- Excellent organizational skills with the ability to handle detailed work, shifting priorities, and cross-functional coordination.
