Position :
Supporting and reporting directly to the President, the Finance & Operations Administrator position requires a high level of professionalism, integrity, and confidentiality. The critical functions of the role are to support and execute recurring accounting processes, financial reporting, business analytical needs, tax compliance, HR, customer service, and business operations.
Summary of Duties :
  • Front line execution of office duties including; business operations, customer service (including inbound call routing and resolution), and closing the circle of all commercial tasks.
  • Support monthly, quarterly, and year-end financial closes including journal entries, balance sheet account reconciliations, accruals, and overall maintenance of accounts
  • Conduct general ledger reconciliations, verifying accuracy of data and correcting errors prior to closes
  • Responsibility for, and operation of, the ERP system and bank accounts
  • Accounts Receivables; quotes, sales orders, invoices, order fulfillment support, and collections activities
  • Accounts Payables; vendor management and setup, payment, purchase orders, bill pay, and administrative inventory management
  • Human Resource Support; employee experience control, onboarding, payroll, timekeeping, benefits management, reporting, and auditing
  • General bookkeeping functions for expenses and vendor management
  • Audit vendor invoices and expense reports as-needed
  • Ongoing oversight of sales and use tax collection, reporting, returns, and compliance
  • Prepare and support ad-hoc accounting functions for the owner
  • Support external audit processes when needed
  • Identify opportunities for improvements and accounting enhancements over time
  • Document accounting processes and procedures
Qualifications:
  • Bachelor's degree in Accounting, Finance, or relevant finance management experience
  • 6+ years of relevant work experience
  • Certified Public Accountant license (or equivalent) is considered a positive
  • Proficient knowledge of GAAP (Generally Accepted Accounting Principles)
  • Strong computer and critical thinking skills
  • Microsoft Office Suite proficiency; advanced Excel skills a must
  • Experience with P&L management
  • Experience with multi-state and international sales and use tax; collection and returns
  • Finance and accounting experience in a manufacturing environment considered a plus
