Compensation:
Base salary + bonus potential Reports to: CFO System used: Sage 100 Work environment: Office location within an onion packing facility. This position is physically located near the front entrance and also the "face" of the company and visitors.
Employee headcount:
40-50 employees during off season, up to 125 during harvest time.

this role really is the "glue" of the company, supporting the flow of every department, including helping C-suite with special projects.

Job Summary:
The Office & Administrative Manager is responsible for overseeing and coordinating the Company's office administration, financial operations, and multi-entity support functions. This role serves as a key operational partner to the CFO and General Manager, ensuring efficient office practices, accurate financial oversight, and seamless administrative coordination across Fort Boise Produce and the owners' affiliated entities. This position directly supervises the Payroll & Accounting Specialist.
Day to Day duties:
Office Administration & Leadership Oversee all front office activities to ensure a professional image, efficient workflows, and effective office practices. Desk will be located up front at main entrance. Help provide coverage for front office Supervise and support the Payroll & Accounting Specialist, providing direction, performance feedback, and workload management. Manage office equipment, supplies, vendor relationships, and general administrative support for management. Handle incoming correspondence, mail, phones, filing, and purchasing coordination. Financial Oversight & Accounting Oversee the Company's accounting functions including A/R, A/P, G/L, bookkeeping, invoicing, and short-payments. Work with and be comfortable working in Accounting and Sales and inventory software to complete all tasks. (A/R/pricing changes, inventory changes. Ext.) Review and ensure the accuracy of financial records, statements, and reports prepared by the Payroll & Accounting Specialist. Develop, implement, and document recordkeeping and accounting systems, leveraging current technology. Coordinate regularly, along with CFO, with the Company's CPA on financial matters, audits, and reporting requirements. Help CFO with year end reporting. Monitor and manage business bank accounts including cash management, reconciliation, and expense allocations. Provide timely and accurate financial reports to the CFO and management for each business entity. Survey operations to identify accounting needs and recommend solutions to business and financial challenges. Maintain DOT compliance and ensure all reporting is complete throughout the year. Payroll, HR & Compliance Oversee weekly payroll processing and post-payroll procedures, including review of work completed by the Payroll & Accounting Specialist. Ensure accuracy of payroll tax filings and quarterly/annual reports across all business entities. Oversee employment-related HR functions including onboarding paperwork, employee files, health insurance administration, and data maintenance. Research and monitor federal, Idaho, and Oregon regulatory requirements; identify applicable obligations and ensure Company compliance. Oversee workers' compensation paperwork and coordination with the Employee Safety Coordinator. Complete all year end reporting such as W2's, Health insurance reporting and other HR and Payroll reports. Executive & Multi-Entity Support Serve as a primary administrative partner to the CFO and General Manager, coordinating projects, tracking deadlines, and ensuring follow-through. Assist the CFO in managing and coordinating administrative needs for the owners' affiliated entities, including rental properties, landholding companies, personal accounts, and other owner-directed requests. Coordinate rental property administration including lease preparation, rent collection, and repair coordination. Maintain accurate records and spreadsheets for Deseret Farms, Inc. (crop maps, FSA reports, crop plans, and related documents). Assist the Food Safety Coordinator with food safety-related reporting to maintain the highest industry compliance standards. Complete various special projects for the GM, CFO, and Owners (e.g., crop insurance claims, local board support, Nyssa Fire District coordination). Maintain strict confidentiality regarding owner, employee, and company information at all times.
Ideal person:
5+ years related experience in bookkeeping, accounting, administrative support, including supervisory or team lead responsibility preferred. Degree in accounting, finance, business administration, or equivalent professional experience. Strong understanding of accounting principles, financial reporting, and mathematics. Proficiency in accounting software; advanced Excel skills; general MS Word; comfortable learning new software programs. Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and work with minimal supervision. Excellent judgment, critical thinking, decision-making, and problem-solving abilities. Strong written and verbal communication skills; ability to interact professionally with owners, management, employees, and external partners. High degree of discretion and ability to maintain confidentiality. Initiative, attention to detail, and consistent follow-through.
