Job Description
Finance & Administration Manager Discover Dixon is a community and economic development organization serving Dixon, Illinois, through four interconnected areas: Chamber of Commerce, Main Street, tourism, and economic development. Our team works collaboratively to support local businesses, strengthen our downtown, attract visitors, and create opportunities that enhance the Dixon community. We are seeking a highly organized, dependable, and detail-oriented Finance & Administration Manager to oversee the organization's day-to-day financial and administrative operations. Position Summary The Finance & Administration Manager is responsible for maintaining accurate financial records, coordinating essential accounting processes, supporting organizational compliance, and ensuring reliable administrative operations. This position works closely with the Executive Director, staff, Board of Directors, members, vendors, and the public. The ideal candidate will combine strong bookkeeping and organizational skills with professionalism, sound judgment, and a commitment to excellent service. Primary Responsibilities Financial Management Manage accounts payable and accounts receivable. Prepare and send membership, sponsorship, event, and other organizational invoices. Process payments, deposits, reimbursements, and other financial transactions. Maintain accurate records in QuickBooks and related financial systems. Complete bank, credit card, cash, and account reconciliations. Monitor outstanding receivables and follow up on past-due balances. Prepare regular financial statements, budget reports, and supporting documentation for the Executive Director and Board of Directors. Maintain complete documentation for purchases and financial transactions. Assist with annual budgeting, audit preparation, tax filings, 1099s, and other financial reporting requirements. Support strong internal controls and the responsible stewardship of organizational resources. Administration and Compliance Maintain organized financial, corporate, membership, and administrative records. Coordinate document-retention and compliance-related requirements. Prepare Board and Executive Committee meeting materials, including financial reports and supporting documents. Assist with meeting logistics, recordkeeping, signatures, and follow-up. Maintain recurring administrative and reporting calendars. Support the Executive Director with organizational documentation and administrative priorities. Help document and improve recurring financial and administrative procedures. Office and Customer Support Help ensure responsive service for members, visitors, vendors, and community partners. Provide appropriate coverage for telephone, email, visitor, and Welcome Center inquiries. Assist with office supplies, mail, merchandise records, information materials, and routine office operations. Coordinate with staff to ensure that membership, sponsorship, event, and payment information is received accurately and on time. Provide limited administrative support for organizational events and special projects when planned and appropriate. Qualifications Previous experience in bookkeeping, accounting, business administration, office management, or a related field Demonstrated experience with accounts payable, accounts receivable, reconciliations, invoicing, and financial recordkeeping Proficiency with QuickBooks; QuickBooks Online experience is preferred Proficiency with Microsoft Office, particularly Excel, Outlook, and Word Strong attention to detail, organization, and time-management skills Ability to manage recurring deadlines and follow through consistently Ability to handle financial and organizational information with discretion and confidentiality Strong written and verbal communication skills Ability to work independently while contributing to a collaborative team Sound judgment and the ability to identify discrepancies or missing information Schedule and Working Conditions This is a full-time, primarily in-office position. The typical schedule is 9:00am-5:00pm, with occasional schedule flexibility needed for Board meetings, organizational events, and other activities outside normal business hours. The position requires extended computer and desk work, regular interaction with the public, and occasional lifting or moving of office supplies, merchandise, or event materials. Compensation and Benefits The anticipated compensation range is $40,000-$45,000, based on qualifications and experience. Additional benefits include an employer-matched IRA, health insurance, generous time off, flexible holiday leave, and other perks.
