Full-Time Position Summary The Financial Administrator is responsible for overseeing the financial operations of the country club and ensuring the accuracy, integrity, and timeliness of all financial reporting. This position serves as a key member of the club's leadership team, partnering with the General Manager, department heads, and Board/Finance Committee to support sound fiscal management, strategic decision-making, and general operational support. The Financial Administrator will manage the accounting function, budgeting and forecasting process, cash management, internal controls, payroll oversight, financial reporting, and annual audit. The ideal candidate combines strong technical accounting expertise with a practical understanding of hospitality, club operations, and member-focused organizations. Key Responsibilities Financial Management & Reporting Direct all day-to-day accounting operations, including accounts payable, accounts receivable, general ledger, cash receipts, and bank reconciliations. Prepare accurate monthly, quarterly, and annual financial statements and management reports. Analyze financial results, identify significant variances, and provide actionable recommendations to management. Maintain the club's chart of accounts and accounting policies in accordance with applicable accounting standards. Ensure timely and accurate closing of the monthly accounting cycle. Budgeting & Forecasting Lead the annual operating and capital budgeting process in collaboration with department heads and senior management. Prepare financial forecasts and monitor performance against budget throughout the year. Provide department managers with financial information and guidance to improve operational performance. Assist leadership and the Board/Finance Committee with long-range financial planning. Cash Management & Internal Controls Oversee cash flow management, banking relationships, investments, and working capital. Establish and maintain effective internal controls to safeguard club assets. Monitor receivables, member accounts, collections, and credit policies. Review purchasing, expense approvals, and payment processes for compliance with club policies. Identify opportunities to improve financial controls, efficiency, and profitability. Payroll & Human Resources Support Oversee the payroll process and ensure accurate recording of wages, benefits, taxes, and related liabilities. Coordinate with Human Resources Chair and department managers regarding payroll, benefits, and employee-related financial matters. Ensure compliance with applicable federal and state payroll and employment requirements. Review, Tax & Compliance Coordinate the annual financial statement review and serve as the primary contact with external accountants. Work with outside accountants and advisors on tax filings and other regulatory requirements. Ensure compliance with applicable accounting, tax, and reporting requirements. Maintain appropriate financial records and documentation. Club Operations Develop a strong understanding of the club's various revenue centers, including membership dues, food and beverage, golf, yachting, aquatics, events, and other amenities. Monitor departmental financial performance and key operating metrics. Partner with the Food & Beverage, Golf, Membership, Facilities, and other departments to improve financial performance. Support capital projects through budgeting, cost tracking, and financial analysis. Provide financial guidance for member events, tournaments, special functions, and other club activities. Oversee IT operations for FOH, BOH and Business Office. Coordinate with outside IT company, internet provider, and/or VOIP purveyor, as necessary. Responsible for maintaining the Club's website, mobile app, and email communications. Oversee Membership operations and coordinate with the Membership Committee while maintaining accurate membership data. Leadership Lead, develop, and evaluate accounting and finance staff. Establish clear procedures, performance expectations, and professional development opportunities for the accounting team. Present financial information clearly to the Board, Finance Committee, and other stakeholders as appropriate. Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or 5+ years of progressive accounting or finance experience , preferably including management-level responsibility. Experience in a country club, private club, resort, hotel, hospitality, or similarly complex multi-department organization is a plus. Strong knowledge of GAAP and financial reporting. Experience with budgeting, forecasting, cash management, and internal controls. Proficiency with accounting software and Microsoft Excel. Excellent analytical, organizational, and critical thinking skills. Strong written and verbal communication skills. Ability to maintain confidentiality and exercise sound professional judgment. Preferred Experience The successful candidate will ideally have experience with: Private club accounting and membership billing Club-specific accounting systems such as Jonas, Clubessential, or similar platforms. Food & beverage and departmental cost accounting Capital project accounting and fixed assets. Board and Finance Committee reporting. Annual reviews and tax compliance Payroll and benefits administration.
