Job Description

The Accounting Manager / Controller serves as the organization's senior accounting leader and is responsible for overseeing all accounting and financial operations of the company. Responsibilities include accounting department leadership, financial reporting, cash management, internal controls, regulatory compliance, procurement oversight, risk management, and staff development. This position partners closely with the President, Executive Vice President, Human Resources, Sales, Procurement, and the company's external accounting resources to ensure the integrity, accuracy, and efficiency of financial and operational processes. The Accounting Manager / Controller is responsible for maintaining the accuracy of the company's financial records, providing financial analysis and reporting to leadership, and supporting sound business decision-making.
JOB DUTIES AND RESPONSIBILITIES
Financial Leadership and Accounting Management:
  • Manage and supervise all aspects of accounting operations and personnel.
  • Demonstrate a thorough understanding of accounting principles, financial controls and accounting best practice.
  • Train, develop, coach and evaluate direct reports.
  • Conduct performance reviews and administer corrective action when appropriate.
  • Support employee development, succession planning, workload management, and cross-training initiatives.
  • Continuously evaluate accounting processes and implement improvements to maximize efficiency and accuracy.
  • Assist management in improving operations, streamlining processes, and implementing effective internal procedures.
Financial Reporting and Compliance:
  • Ensure accurate recording of accounting transactions within the General Ledger.
  • Oversee month-end and year-end close processes.
  • Prepare and analyze monthly financial reports, account reconciliations, and supporting schedules for management review and external accounting support.
  • Maintain and strengthen internal financial controls.
  • Support financial audits and regulatory reviews.
  • Assist in identifying and mitigating financial and operational risks.
  • Ensure compliance with applicable accounting standards, company policies, and regulatory requirements.
  • Ensure all federal, state, and local tax filings are completed timely and accurately.
  • Coordinate with the company accountant to resolve discrepancies and maintain compliance documentation.
Cash Management and Banking:
  • Maintain accurate balances of company bank accounts and financial transactions.
  • Ensure accurate preparation and timely deposit of company funds.
  • Audit and reconcile monthly bank statements.
  • Prepare and maintain weekly cash flow analysis reports.
  • Manage banking relationships and support treasury-related activities as needed.
Accounts Receivable (AR) and
Credit Management:
  • Oversee the accurate preparation of customer invoices, ensuring applicable sales tax is correctly applied.
  • Assist customers and sales personnel in resolving invoice discrepancies.
  • Monitor AR activity and aging reports.
  • Perform collection activities and negotiate payment solutions when necessary.
  • Review and approve customer credit applications.
  • Verify credit information and evaluate customer creditworthiness for Net 30 terms.
Expense Management and Purchasing Support:
  • Audit and reconcile company credit card statements and expense reports.
  • Ensure compliance with company purchasing and expense policies.
  • Report identified misuse or policy violations to the President.
  • Analyze credit card processing vendors, negotiate terms, and oversee transaction processing procedures.
  • Ensure credit card processing procedures remain PCI compliant.
Procurement Management:
  • Oversee procurement-related financial activities and support purchasing operations.
  • Assist in resolving vendor payment issues and product discrepancies.
  • Participate in vendor evaluations, contract reviews, and cost management initiatives.
  • Assist in maintaining product cost reports, pricing sheets, and product pricing structures.
  • Support management efforts to improve purchasing efficiency and vendor performance.
Payroll, Benefits and Retirement Plan Administration:
  • Maintain proficiency in payroll processing and administration.
  • Serve as payroll backup when necessary, including approval and processing responsibilities.
  • Coordinate with Human Resources to ensure payroll deductions, insurance deductions, and retirement contributions are accurately processed.
  • Assist Human Resources with annual insurance renewals, workers' compensation audits, and related reporting requirements.
  • Manage company retirement plan administration and maintain compliance with all applicable requirements.
Safety, Policy Compliance and Other Responsibilities:
  • Support company safety initiatives and promptly report unsafe conditions in accordance with company policy.
  • Comply with and enforce all company policies and procedures.
  • Assist the President and Executive Vice President as needed.
  • Perform additional duties and special projects as assigned.
QUALIFICATIONS AND QUALITIES DESIRED
  • Strong understanding of accounting principles, financial reporting, and internal controls.
  • Experience with General Ledger accounting procedures and financial analysis.

EDUCATION AND EXPERIENCE
Bachelor's degree in Accounting, Finance, Business Administration, or a related field. Equivalent combination of accounting education and progressively responsible accounting experience may be considered. Experience in AR, AP, general ledger accounting, financial reporting, and accounting operations management. Knowledge of commonly used accounting concepts, practices, and procedures. Strong understanding of English grammar, business writing, and professional communication.
