Job Description
About the Role Fick Supply is a small, local company that is seeking a Manager of Financial Operations to provide leadership and oversight for the company's accounting function. This role is responsible for financial accounting and reporting, banking and cash management, payroll oversight, regulatory compliance, insurance and bond administration, and the processes and controls that support reliable accounting operations. The Manager of Financial Operations also supervises the Accounts Payable and Accounts Receivable functions while allowing dedicated specialists to own day-to-day transactional work. This position is well suited to an experienced accounting professional who combines strong accounting judgment with practical leadership, attention to detail, sound internal controls, and the ability to improve processes while keeping critical work organized and dependable. We're looking for an Financial Operations Manager who knows the numbers, understands the why behind them, and isn't afraid to get into the details. What You'll Do Financial Accounting, Reporting & Close Manage the integrity of Fick Supply's financial accounting, including journal entries, account reconciliations, adjustments, and financial consolidations. Lead month-end and year-end close activities and review supporting schedules and subsidiary account reconciliations. Prepare or oversee financial statements and management reporting, identifying material variances, unusual activity, and issues requiring attention. Support external accounting, tax, audit, and other professional-service requests with accurate records, schedules, and documentation. Banking, Cash Management & Internal Controls Oversee banking relationships, bank accounts and access, cash-position monitoring, deposits, intercompany transfers, and related banking administration. Review key banking and cash activity and exercise appropriate approval authority for designated transactions and exceptions. Maintain effective fraud-prevention and payment controls, including Positive Pay oversight and review of payment exceptions. Provide management-level approval and oversight for designated AP, AR, credit, cash, and banking controls. Payroll, Compliance, Insurance & Operational Oversight Process and/or provide final review of bi-weekly payroll and oversee payroll taxes and payments, union fringe benefits, payroll records, reporting, and related reconciliations. Ensure required sales tax, DNR, certified payroll, Department of Labor, and other regulatory filings and documentation are completed accurately and on time. Oversee business licensing, insurance administration, insurance certificates, claims coordination, bond renewals, and renewal tracking. Provide accounting oversight or review for designated inventory, fuel/IFTA reporting, vehicle registration and compliance, and related operational records where assigned. AP & AR Leadership, Processes & Systems Supervise the Accounts Payable Specialist and Accounts Receivable Specialist, including workload planning, training, cross-training, performance support, and issue resolution. Provide management approval and judgment for AP and AR matters requiring higher-level review, including selected payments, vendor issues, credit decisions, write-offs, customer exceptions, reconciliations, and cash controls. Ensure key AP and AR balances, payments, deposits, and subsidiary accounts are properly reconciled and supported. Own accounting process documentation and SOP governance while identifying opportunities to improve controls, efficiency, automation, system use, and data quality. Review accounting-related system access and material process changes and coordinate with designated IT or operational resources when needed. Build practical backup coverage for critical accounting responsibilities to support continuity during absences and staffing transitions. What We're Looking For Accounting experience sufficient to independently manage general accounting, account reconciliations, close activities, financial reporting, cash controls, and payroll-related responsibilities. Working knowledge of generally accepted accounting practices, internal controls, financial statements, transaction review, and reconciliation processes. Experience supervising, leading, or providing functional oversight to accounting or finance personnel. Strong accounting judgment, analytical thinking, attention to detail, and the ability to distinguish routine processing from issues requiring management action. Ability to manage recurring compliance deadlines and maintain accurate, organized supporting documentation. Clear communication skills for working with employees, customers, vendors, banks, insurers, and outside professionals. Practical problem-solving and process-improvement skills, with the ability to maintain accountability while delegating day-to-day transactional ownership. Preferred Qualifications Accounting-management experience in a privately held, operational, distribution, manufacturing, construction-related, or similarly transaction-intensive business. Experience improving accounting processes, documenting SOPs, strengthening internal controls, or implementing accounting-system or process changes. Experience with payroll, sales tax, certified payroll, union-related administration, insurance/bond administration, or operational compliance reporting. Technology & Systems Candidates should be comfortable using Microsoft Excel and other Microsoft 365 applications for reconciliations, schedules, reporting, analysis, and documentation. The role also requires the ability to work with and learn accounting, banking, payment, payroll, and related business systems, and to support future accounting automation, workflow, and reporting tools.
