Job Description

We are seeking an experienced Administrative & Financial Manager to oversee the day-to-day administrative and financial operations of our assisted living community. This position is ideal for a highly organized professional with experience in office management, accounting, payroll, and human resources who thrives in a collaborative, resident-focused environment. Responsibilities Oversee the daily operations of the business office, ensuring efficiency, accuracy, and compliance. Manage accounts receivable, accounts payable, billing, collections, payroll, and employee records. Ensure timely and accurate completion of resident financial documentation, including Medicaid, Special Assistance (SA), SSI, VA benefits, PCS referrals, and other required paperwork. Process payroll and partner with corporate leadership to resolve payroll-related questions and issues. Prepare monthly private-pay invoices and ensure all resident payments are accurately posted. Complete bank reconciliations, resident trust fund accounting, petty cash management, and other financial reporting responsibilities. Maintain accurate records using Microsoft Excel and other company systems. Collaborate with the Operations Manager and department leaders to ensure efficient day-to-day operations and excellent service for residents and their families. Qualifications Minimum of 2 years of business office or administrative experience with financial and operational responsibilities. Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred. Experience with accounts receivable, accounts payable, payroll, billing, and office administration required. Previous experience in assisted living, healthcare, or Adult Care Homes strongly preferred. Knowledge of Medicaid funding, Adult Care Home regulations, Special Assistance (SA), SSI, and VA benefits is a plus. Strong proficiency in Microsoft Office, particularly Excel. Experience with pivot tables is preferred. Excellent organizational, written, verbal, and interpersonal communication skills. Ability to prioritize multiple responsibilities while maintaining accuracy, professionalism, and confidentiality.
