Full-Time, Onsite Japanese language ability required•Professional Japanese and English proficiency is required for financial, administrative, and business communication with corporate headquarters in Japan. Position Summary This hands-on management role oversees accounting administration, HR, payroll and benefits coordination, corporate administration, and general office operations. Professional Japanese and English proficiency is required to prepare reports, explain financial and administrative matters, and coordinate with headquarters in Japan. Key Responsibilities Manage AR/AP, invoicing, payments, expenses, credit cards, bank payments, and accounting records. Maintain financial information in QuickBooks and coordinate monthly closing and financial reporting with an external CPA. Support cash flow monitoring, budgeting, budget-to-actual analysis, tax documentation, audits, and reporting to Japan headquarters. Coordinate recruiting, onboarding, employee records, payroll, benefits, leave, workers' compensation, policies, and HR documentation. Supervise and support Office Managers across multiple U.S. locations. Maintain corporate records, licenses, insurance, contracts, leases, and Board/Shareholder documentation. Improve administrative procedures, internal controls, and office systems. Prepare management reports and coordinate with executives, employees, CPAs, professional advisors, and Japan headquarters. Provide administrative support for purchasing, engineering, sales, vendor/customer documentation, and safety compliance as needed.Qualifications Required:
Professional Japanese and English proficiency, including written and verbal communication, for coordination with Japan headquarters. Experience in administration, accounting, finance, HR, or a related function. Working knowledge of AR/AP, payroll, expenses, and financial reporting. Strong organizational skills and ability to independently manage multiple responsibilities. Proficiency in Excel, Word, and Outlook. High accuracy, confidentiality, integrity, and professional communication skills.Preferred:
QuickBooks or similar accounting software experience. Experience coordinating with external CPA/accounting firms. HR, payroll, benefits, or corporate administration experience. Experience in engineering, manufacturing, construction, or industrial services. Experience coordinating business operations between U.S. offices and corporate headquarters in Japan.Benefits
