Together with our sister organization, Harwood Art Center, we share a vibrant historic campus where education, creativity, and community come together. We are seeking an experienced, highly organized Finance & Business Manager to manage the day-to-day financial operations of our unique nonprofit organization, which brings together an independent Montessori school and a vibrant community arts center in downtown Albuquerque. This is a hands-on financial management position ideal for a seasoned bookkeeper or business manager who knows how to keep the financial side of an organization running smoothly. We are looking for someone who is comfortable owning the details—from payroll and accounts payable to reconciliations and financial reporting—while working collaboratively with the Executive Director, Administrative Team, outside accountant, and Board Finance Committee. The right person will be accurate, dependable, resourceful, and comfortable working independently. Strong QuickBooks experience is required. Key Responsibilities Bookkeeping & Financial Operations Maintain accurate and timely financial records using QuickBooks Online Manage day-to-day bookkeeping and ensure transactions are properly recorded and categorized Manage accounts payable, including processing invoices, issuing payments, and maintaining supporting documentation Monitor accounts receivable and assist with collection and reconciliation as needed Make and record deposits and complete monthly bank and account reconciliations Maintain accurate vendor records and appropriate financial documentation Monitor organizational spending against approved budgets Track expenses associated with grants, programs, and special projects Maintain appropriate internal controls and segregation-of-duties procedures Maintain and archive financial records in accordance with applicable record-retention requirements Identify discrepancies, unusual transactions, or financial concerns and bring them promptly to the attention of the Executive Director Payroll & Employee-Related Financial Administration Coordinate semi-monthly payroll and ensure employees are paid accurately and on time Maintain accurate payroll records and employee payroll files Review employee timesheets and ensure appropriate approvals and coding Coordinate payroll tax filings and required payroll reporting Prepare and maintain documentation related to W-2s, 1099s, W-4 changes, and other payroll requirements Maintain payroll documentation needed for financial reviews and audits Track and report employee leave accruals through the payroll system Work with the Administrative Director to coordinate employee benefit enrollments, changes, and deductions Assist with administration and reporting associated with the organization's 403(b) retirement plan Budgeting & Financial Reporting Work with the Executive Director to develop the organization's annual budget Monitor actual revenue and expenses against budget throughout the year Identify significant variances and bring them to the Executive Director's attention Prepare regular, understandable financial reports for the Executive Director and Board Finance Committee Assist with financial information needed for grants, annual reports, and other organizational reporting Work closely with the organization's outside accountant on year-end financial statements, Form 990 preparation, compilations, and audits Gather and organize financial records and supporting documentation for annual financial reviews and audits Help identify opportunities to improve financial processes, strengthen controls, increase efficiency, and reduce unnecessary costs What We're Looking For We are particularly interested in someone who has spent several years actually doing the financial work of an organization. This position requires someone who is comfortable moving between QuickBooks, payroll, invoices, bank reconciliations, spreadsheets, budgets, and financial reports—and who takes pride in keeping things accurate and organized. Required Qualifications Significant hands-on bookkeeping, accounting, or business management experience Strong working knowledge of QuickBooks online (advanced) Experience with accounts payable, bank reconciliations, payroll, and general ledger functions Experience preparing and reviewing financial reports Strong Excel or spreadsheet skills Excellent attention to detail and accuracy Ability to manage recurring deadlines and multiple priorities independently Strong organizational and recordkeeping skills Good judgment, discretion, and the ability to handle confidential financial and employee information Ability to communicate financial information clearly to colleagues who may not have financial backgrounds Particularly Helpful Experience working in a nonprofit organization, school, arts organization, or similarly complex small organization Experience with nonprofit accounting and restricted or grant funds Experience supporting annual audits and Form 990 preparation Familiarity with Ramp or similar expense-management software Experience with payroll and employee benefits administration Familiarity with 403(b) retirement plans Experience working with an outside accountant and/or Board Finance Committee A specific college degree is less important to us than demonstrated experience, sound financial judgment, accuracy, and a strong track record of managing the day-to-day financial responsibilities of an organization. Compensation & Benefits Salary:

$58,000-$61,000, depending on qualifications and experience. This is a full-time, exempt position based in Albuquerque, New Mexico, with a comprehensive benefits package, including partial tuition remission for eligible dependent children.
