Job Description

The Mortgage Operations Manager is responsible for end-to-end operational execution, system ownership, and team accountability across Mortgage and Home Equity workflows. This hands-on leadership role requires strong operational discipline, system fluency, and the ability to drive accountability across a lean, high-performing team while ensuring production efficiency, compliance adherence, and technology optimization in a fast-paced, system-driven environment.
Essential Functions & Responsibilities:
Directs and manages daily Mortgage and Home Equity operations from application through funding and servicing handoffs including payoffs, lien releases, and servicing workflows, while ensuring timely execution and adherence to service level expectations. Responsible for training, coaching and developing employees. Conducts performance evaluations and addresses performance issues timely while holding team members accountable for performance. Establishes clear career paths and cross-training opportunities. Leads pipeline reviews, team huddles, and production alignment sessions while establishing clear ownership, accountability, and workflow visibility across the team. Ensures adherence to all applicable regulatory requirements, including NCUA rules and guidance, HMDA reporting requirements, investor guidelines, and internal policies. Maintains readiness for internal and external audits, including NCUA examinations. Ensures seamless coordination between origination and servicing functions. Identifies workflow bottlenecks and implement process improvements to drive cycle time reduction and operational consistency. Serves as the primary operational owner of MeridianLink Mortgage (MLM), ValueLink (appraisal platform), and IDS (documentation/compliance system) while partnering with IT and vendors to implement system enhancements and process improvements. Independently troubleshoots system issues and leads resolution efforts. Ensures systems are utilized effectively to drive efficiency, compliance, and production goals. Leads training and adoption of system updates and workflow changes. Manages workflow alignment with Dovenmuehle (DMI) servicing partner, ValueLink (appraisal vendors), and title companies. Supports loss mitigation, delinquency reviews, and foreclosure coordination as applicable. Performs other job-related duties as assigned.
Experience:
Five years to eight years of similar or related experience of progressive mortgage management operations experience, including leadership responsibilities across processing, underwriting, closing, and servicing functions.
Education:
(1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program. Bachelor's degree is highly desired.
Interpersonal Skills:
Work involves extensive personal contact with others and is of a personal or sensitive nature. Motivating, influencing, and/or training others is key at this level. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.
Other Skills:
Strong experience with Loan Origination Systems (MeridianLink Mortgage preferred). Experience with appraisal platforms (ValueLink or similar). Strong system troubleshooting and implementation capabilities. High level of comfort with reporting tools, dashboards, and workflow automation. Deep understanding of mortgage and home equity processes.
