Job Description

Description We are looking for an experienced Accounting Manager/Supervisor to lead day-to-day financial operations and administrative support for a growing organization in White Plains, New York. This position blends accounting oversight, payroll coordination, client administration, and office management, making it ideal for someone who thrives in a hands-on environment. The successful candidate will bring strong technical accounting knowledge, sound judgment, and the ability to manage detailed processes with accuracy and professionalism.
Responsibilities:
  • Direct daily accounting activities, including payables, receivables, cash transactions, and account reconciliations to maintain accurate financial records.
  • Oversee recurring payroll and billing cycles, ensuring employee time and client invoicing are processed accurately and on schedule.
  • Prepare journal entries, support month-end and year-end close activities, assist with budgeting, and produce financial reports for leadership review.
  • Handle sales tax submissions, annual business filings, and coordinate with external tax professionals to support regulatory compliance.
  • Administer client-facing documentation such as proposals, service agreements, and contract updates with a high level of accuracy.
  • Manage office operations and administrative workflows to support efficient day-to-day business performance.
  • Support employee benefits enrollment and ongoing administration while compiling workers' compensation reporting on a regular basis.
  • Maintain workforce management and accounting platforms, including updating scheduling templates, contract structures, pay rates, and billing rates as client terms change.
  • Review schedules and time records for accuracy, approve payroll hours, and export validated timesheet data for payroll processing and certified reporting requirements.
  • Produce certified payroll and other prevailing wage documentation for clients with specialized compliance obligations using third-party systems. Requirements
  • 7+ years of experience in accounting, office management, financial operations, or a closely related role.
  • Strong background in full-cycle accounting, including general ledger activity, journal entries, reconciliations, billing, and month-end close.
  • Hands-on experience with payroll administration and financial systems such as QuickBooks, ADP, or similar platforms.
  • Advanced Excel skills and comfort working with detailed financial data, reports, and audits.
  • Familiarity with workforce management or scheduling systems such as TrackTik or comparable software is strongly preferred.
  • Knowledge of compliance-related reporting, including certified payroll, prevailing wage requirements, sales tax filings, or workers' compensation reporting.
  • Excellent organizational skills and close attention to detail when managing multiple priorities, rate structures, and deadlines.
  • Strong written and verbal communication skills with the ability to work effectively with clients, vendors, external advisors, and internal teams.
