Position Description Accounting and Office Manager May 2026 Position Overview The Accounting and Office Manager is responsible for a variety of tasks related to financial reporting, invoicing, and management of our CRM tool ChamberMaster. This position interacts with Chamber members frequently through Member retention, A/R and other customer service activities. This is a non-exempt position and is eligible for overtime in accordance with federal and Minnesota law. The position reports directly to the Chamber's President and Chief Mission Officer.   • Respect to All at All Times Detailed Finance Responsibilities Management of accounts receivable and accounts payable information through ChamberMaster and QuickBooks Prepare and disburse checks, invoices, and deposits regularly for Chamber (501 c 6) and DCR Chamber Charitable Foundation (501 c 3) Manage general correspondence, renewal billing and follow up calls, new Member billing and thank you letters to Members.
Manage Accounts Receivables with calls, emails or visits as appropriate. Maintain Chart of Accounts and General Ledger for Chamber and Charitable Foundation Produce monthly financial statements and other reports for Chamber and Charitable Foundation Complete monthly reconciliation of all bank accounts Administer benefits for Chamber and light Human Resources work as requested by the President and Chief Mission Officer Work with Chamber's outside payroll service and accountants to prepare quarterly payroll tax deposits, tax returns, IRA deposits, and (at least) annual audit/review Monitor taxable sales and file annual Sales & Use Tax Reports with the Minnesota Department of Revenue and PCI Compliance Annual work Provide schedules to the President Chief Mission Officer to allow completion of the annual budget preparation with Income/Expense detail and staffing guides Communicate weekly updates on membership roll, new member additions and renewals (and recommend drops for approval by the President and Chief Mission Officer) Control Cash (though check deposits, ACH requests, credit card payments) Make/Deliver (via scan whenever possible) Bank Deposits, handle cash flow projections. Control Authorize.net charges/refunds Control/ monitor and balance cash/income journal for monthly entry for Profit and Loss statement Handle monthly Deferred Income balancing per event and month Develop accrued month end lists and prepaid schedules for the Chamber Handle all assigned project/tasks (New Members-Renewals) and event payments/guest list payments. Work with the Finance Committee to develop and better serve the Chamber's reporting needs, investments, monthly reports, and dashboards via monthly meetings and other business correspondence with the committee Connect with Chamber Members, Board of Directors, New Community business openings and potential New Members when at events, visiting places of business and larger Chamber events Attend major events and handle cash payments, Credit cards and Square/Venmo/other source payments Perform other duties as may be assigned by the President and Chief Mission Officer. General Office Responsibilities
  • Opening and dissemination of mail
  • Ordering and maintaining office supplies without run out (paper, utensils, printer cartridges, etc.)
  • Handling office machine contracts (printer, phones, postage machine) and recommending changes/improvements for better cost, service. Performing other duties as assigned by the President and Chief Mission Officer. Knowledge, Experience, and Education Required
  • Minimum of Associate's degree, or professional certification in financial services. In lieu of this, at least 3-5 years of office financial experience using tools the DCR uses or similar. Experience working in the chamber of commerce/association management or hospitality industry preferred but not required.
  • Strong interpersonal skills to effectively cultivate relationships with office Team, Members, volunteers and community stakeholders
  • Capable of maintaining sensitive/confidential information at all times
  • Proficient in QuickBooks and Microsoft Office programs including Outlook, Excel and Word, ChamberMaster (or other similar CRM tool), Authorize.

  • Ability to foster the values of Member relations and quality assurance in customer service Physical Demands While performing the duties of this job, the employee is required to work at a desk and computer for long periods of time and is occasionally required to stand.
Employees may be required to lift materials of up to 35 pounds, stand and help set up tables and materials at events. Work Environment Majority of duties will be performed in and from the Chamber's office in Eagan during regular business hours. Some work off-site may be required through Member meetings and events, as well as occasional work on evenings, weekends and/or holidays with advance notice. Time Commitment The average time commitment will be 25 to 30 hours per week in order to fulfill the duties required of this non-exempt position. Flexibility in work schedule is available. At least four days a week will be required in the office most weeks. Compensation and Employee Benefits Compensation is commensurate with experience. Salary range is $25
  • 28/hour.
