Job description:I. PRIMARY RESPONSIBILITIES
Financial Management & Reporting:
- Maintain accurate and complete general ledger records, including journal entries and reconciliations across all organizational entities.
- Monitor entries in QuickBooks and ensure financial data integrity.
- Prepare and present timely monthly, quarterly, and annual financial statements.
- Reconcile all bank, investment, and asset accounts; ensure all balance sheets are verified prior to external reporting.
- Maintain detailed supporting documentation and financial spreadsheets.
- Track and report on restricted and unrestricted funds, including grants and donations.
- Oversee and assist with the resolution of inquiries related to disbursements, receipts, and organizational financial performance in partnership with the Accounting Specialist.
- Ensure timely and accurate financial reporting to internal leadership, the Board of Trustees, the Finance Committee, auditors, and funders.
Compliance, Audit & Internal Controls:
- Ensure compliance with all applicable nonprofit financial regulations, including IRS Form 990 and HUD reporting requirements.
- Implement and maintain strong internal controls to safeguard assets and ensure financial accountability.
- Coordinate and support annual audits and compilations, including document preparation and communication with external auditors.
- Create, submit, and track documentation required by auditors, HUD, and other regulatory entities.
- Maintain calendar reminders to ensure critical payment and reporting deadlines are met.
Accounts Payable & Receivable Oversight:
- Supervise and support the Accounting Specialist to ensure timely and accurate processing of payments and receivables.
- Provide training and guidance on financial processes to accounting and non-accounting staff.
- Maintain positive relationships with vendors, ensuring compliance with payment terms and service expectations.
Payroll Oversight and Support:
- Supervise and support the Bookkeeper in the accurate and timely processing of semi-monthly payroll in accordance with organizational policies and labor regulations.
- Review payroll-related reports, tax filings, and documentation to ensure compliance with federal, state, and regulatory requirements.
- Provide guidance and support regarding employee benefits, deductions, wage adjustments, and payroll-related procedures.
- Serve as a backup for payroll processing and related functions during absences or periods of increased workload.
- Collaborate with the Bookkeeper and Human Resources to address payroll inquiries, maintain accurate records, and ensure effective coordination of compensation and benefits administration.
Vendor & Organizational Support:
- Oversee communication and relationship management with vendors, service providers, insurance brokers, and corporate contacts.
- Manage annual and quarterly reporting for all organizational entities.
- Support financial decision-making and strategic planning in partnership with the Executive Director.
Team Leadership & Communication:
- Supervise accounting personnel (e.g., Accounting Specialist and intern(s), offering mentorship, training, and performance oversight.
- Collaborate with housing, program, and property managers to align financial operations with departmental needs.
- Promote a respectful, inclusive, and collaborative work environment by modeling effective communication and teamwork.
Executive Support:
- Serve as a strategic partner to the Executive Director in evaluating financial decisions and funding strategies.
- Represent the finance department in meetings with staff and residents as requested.
- Other duties as assigned.
Development & Philanthropy Support:
- Collaborate with the Director of Philanthropy to manage online giving platforms and track contributions.
- Assist with the financial aspects of special events, donor reconciliation, and reporting related to fundraising efforts.
II. PERSONAL AND CAREER DEVELOPMENT
- Attend and participate in in-service meetings, workshops, seminars, etc. as directed.
- Follow facility dress and personal hygiene policies.
Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and experience.
- Minimum of 5 years of progressively responsible accounting experience, preferably in a nonprofit, affordable housing, or healthcare environment.
- Strong knowledge of nonprofit fund accounting, financial reporting, budgeting, and internal controls.
- Proficiency in accounting software (QuickBooks) and Microsoft Office Suite, with advanced Excel skills preferred.
- Demonstrated ability to lead, mentor, and effectively manage accounting staff while fostering a positive, collaborative, and accountable team environment.
- Proven ability to maintain professionalism, confidentiality, and sound judgment when handling sensitive financial and personnel matters.
- Ability to perform effectively under pressure, manage competing priorities, adapt to changing demands, and consistently meet deadlines in a fast-paced environment.
- Strong organizational, analytical, problem-solving, and communication skills, with the ability to clearly present financial information to diverse audiences.
