Full-time (20-25 Hours per week - Flexible), Non-Exempt The Wisconsin Hotel & Lodging Association (WHLA) is a well-established non-profit organization dedicated to serving Wisconsin's lodging industry. Our members consist of hotels, motels, resorts and bed & breakfasts throughout Wisconsin along with all of the industry suppliers who support us. If you love working on a small team with a great culture and where you have the opportunity to work across multiple job functions, this is the position for you! The ideal candidate will have a strong, successful bookkeeping, accounting, and office management track record. You'll have the opportunity to grow in this role by learning about best practices in association management while helping to perfect our bookkeeping systems office operations. Keys to success include the ability to work with a small team in a collaborative environment and creatively find ways to engage current and potential members on our limited non-profit budget. Experience with QuickBooks Online is strongly preferred. WHLA's offices are in Brookfield, Wisconsin, and the right candidate may be eligible for a hybrid work-from-home/office program after the initial probationary period. Travel may be required 1-2 times per year within the state.

We match 100% of contributions on the first 3% deferred, then 50% of contributions from 3% to 5%. 9 Paid Holidays 2 weeks vacation (paid at 20 hours per week) 1-week personal time (paid at 20 hours per week) $25,000 Life & AD&D insurance policy eligibility on the first of the month after 60 days of employment Responsibilities Bookkeeping Issue all financial reports monthly per Wisconsin Hotel & Lodging Association (WHLA) policies and in accordance with generally accepted accounting principles, for WHLA, the Greater Milwaukee Hotel & Lodging Association (GMHLA), and the Madison Area Hotel & Lodging Association (MAHLA). Record and retain responsibility for bookkeeping entries and all financial records. Ensure that entries and records are processed according to WHLA-approved policies. Balance all general ledger accounts monthly. Issue all checks and electronic payments semi-monthly as authorized, and obtain signatures and approvals as required. Monitor cash balances, and advise if exceed FDIC limits. Work with contracted CPA firm for tax submissions and audits to ensure timely compliance. Prepare and submit 1099's, 1096's, and sales & use tax reports. Submit 401(k) Contributions for each payroll after authorization from President & CEO. Prepare financial reports for specified events and co-op programs, financial analyses, and other such financial duties as requested by the President & CEO Review the investment portfolio and advise if changes are needed. Obtain rate quotes for expiring CDs and recommend changes. Prepare and finalize payroll summaries provided by staff and approved by President & CEO (including commissions summary), enter figures online for contracted payroll service, and provide final copies to President & CEO. Maintain WHLAPAC and Conduit accounts, making deposits, and issuing donations as authorized, and submit state reports as required. Deposits payments in line with proper segregation of duties. Reconcile accounting figures with sales spreadsheet and reconcile database with accounting figures Track and monitor PTO status for employees Assist with Accounts Receivable collection Other duties as assigned Other WHLA Staff Covers Create daily check/charge/Paypal logs, and prepare deposit slips. Code all deposits and payments with proper accounts Entries of sales into sales spreadsheets Get quotes and select outside audit or review Create Budgets for
WHLA, GMHLA, MAHLA, and Conference Pay:
$20.00 - $24.00 per hour
