Job Description

Position Summary The Financial Administrator is responsible for the day-to-day execution of the church's financial operations. This position handles bookkeeping, payroll, contributions, accounts payable, reconciliations, financial reporting, and recordkeeping while maintaining strong accuracy, confidentiality, and internal financial controls. The Financial Administrator works closely with the Financial Coordinator, Executive Pastor, Finance Committee, and Treasurer. Primary Responsibilities
  • Maintain accurate day-to-day bookkeeping and the general ledger.
  • Process invoices, payment vouchers, reimbursements, and approved payments.
  • Record contributions and deposits accurately and maintain donor giving records.
  • Process payroll and assist with payroll-related reporting, including year-end W-2 preparation.
  • Reconcile bank accounts, credit cards, payroll records, contributions, investment accounts, and designated/restricted funds.
  • Prepare recurring financial statements and budget-to-actual reports.
  • Support preparation of the annual church budget.
  • Assist with annual audits, reviews, year-end financial processes, and required filings.
  • Maintain organized financial records, schedules, calendars, and supporting documentation.
  • Monitor designated and restricted accounts to ensure funds are properly recorded and used.
  • Maintain confidentiality concerning giving, payroll, personnel, and other sensitive financial information.
  • Identify and promptly report discrepancies, unusual transactions, or internal-control concerns.
  • Follow established church financial policies, procedures, approval processes, and internal controls. Qualifications
  • Previous experience in bookkeeping, accounting, payroll, or financial administration.
  • Working knowledge of general ledger accounting, accounts payable, bank reconciliations, payroll, and financial reporting.
  • Strong attention to detail and accuracy.
  • Excellent organizational and deadline-management skills.
  • Ability to work independently while functioning effectively within an accountability structure.
  • Strong discretion and ability to maintain confidentiality.
  • Proficiency with accounting software, spreadsheets, online banking, and payroll systems.
  • Strong written and verbal communication skills.
  • Church or nonprofit accounting experience preferred.
  • Associate or bachelor's degree in accounting, finance, business, or a related field preferred.
  • Approximately 3+ years of relevant experience preferred.
Role Distinction and Accountability The Financial Administrator is an execution-focused role and is intentionally distinct from the Financial Coordinator position.
In simple terms:
the Financial Coordinator oversees and reviews; the Financial Administrator executes the recurring financial work. General Expectations

  • Work collaboratively with staff and volunteer leaders while maintaining appropriate financial controls and separation of duties.
Perform other related financial-administration duties as reasonably assigned.
Pay:
$25.00 per hour Expected hours: 25.0 - 35.0 per week
