Full Time Job Summary The Financial Operations Specialist provides administrative and operations support to the firm's advisors, with a primary focus on wealth management client service and account servicing. This role is responsible for delivering an exceptional client experience through timely follow-through, accurate paperwork processing, and proactive coordination of client requests. In addition, the position supports marketing activities and performs compliance-related follow-up to help ensure tasks are completed, documented, and tracked. This position requires a highly dependable, trustworthy, motivated, and self-driven candidate who is extremely organized and detail-oriented, with the ability to manage and complete a high volume of tasks and projects. Essential Duties and Responsibilities Maintain an organized and efficient work station. Answer and direct incoming communications and visitors. Interact with clients in a welcoming and professional manner. Coordinate client communication including print, online, telephone, meetings, etc. Prepare information and documentation for office meetings. Support advisor(s) with client administrative services. Schedule and confirm client appointments via telephone, email and/or text Prepare, organize, coordinate, and maintain client paperwork. Assist in preparing agendas, statements and other items needed for client meetings. Record notes from appointments, assign tasks, record opportunities, and assist in creating and communicating follow-up plans with clients. Research and resolve client service tasks and resolve errors as needed. Obtain working industry knowledge and overall familiarity with relevant internal and Broker-Dealer resources. Support ongoing efforts for growth with new and existing clients. Assist in planning, coordinating and executing marketing plans and client events. Assist in establishing and maintain social media streams. Maintain processes and procedures checklists and update when necessary to improve upon processes currently in place. Own and process a significant portion of day-to-day client servicing, including client requests, account service paperwork, and related follow-up to completion. Coordinate with advisors and internal/external partners (e.g., custodians/broker-dealer contacts) to track service items, resolve issues, and ensure accurate and timely processing. Perform compliance-related follow-up (e.g., gathering required documentation, tracking outstanding items, and maintaining records/checklists) to support timely completion of compliance requests. Periodic Duties and Responsibilities Be available for other projects as needed Supervisory Responsibilities None Skills and Abilities Required Ability to be actively involved in multiple projects at any given time. Ability to organize and prioritize multiple tasks. High attention to detail ("detail gene") and a genuine interest in process-oriented work, documentation, and paperwork accuracy. Work with established deadlines. Be proficient in data entry using a CRM. Be proficient in MS Word and MS Outlook. Possess advanced MS Excel skills. Have an aptitude and interest in current and developing technology. Follow verbal and written communications and instructions. Be able to think outside the box. Be self-motivated and work independently. Possess disciplined study habits and the ability to take complex tests. Communicate effectively with clients, prospects, public, and coworkers in a professional and courteous manner. Express ideas clearly in both written and oral communications.
Language Ability:
Ability to read and interpret documents such as rules, instructions and manuals. Ability to write routine correspondence.
Mathematical Ability:
Ability to add, subtract, multiply and divide with the ability to understand and apply percentages, and understand present value, future value and other financial concepts.
Reasoning Ability:
Apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations. Education and Experience Experience in the financial industry is preferred Associates Degree is preferred Client Service experience is required Securities offered through Registered Representatives of Cambridge Investment Research, Inc. a broker-dealer, member
FINRA/SIPC.

Pay:
$50,000.00 - $65,000.00 per year
