Finance Specialist About the Role This
CONFIDENTIAL COMPANY
is growing, and the Finance function is growing with it. We are currently operating with a combination of Google Sheets, manual processes, and an outside accounting partner. As we continue to scale, we are moving toward bringing more of our financial operations in-house and implementing modern financial and invoicing technology. We are looking for a Finance Specialist who is excited by the opportunity to help build something—not simply maintain what already exists. This role is ideal for someone who is highly detail-oriented, naturally curious, comfortable working through ambiguity, and interested in process improvement, technology, and change implementation . There will be a mess to organize . We need someone who sees that as an opportunity rather than a problem. What You'll Do
  • Support day-to-day finance and accounting operations, including accounts payable, accounts receivable, invoicing, collections, deposits, reconciliations, and financial recordkeeping.
  • Update and complete the auction payout spreadsheet following each auction close , ensuring auction sales, fees, payments, and seller payout information are accurate and complete.
  • Assist with processing and reconciling seller payouts and resolving discrepancies.
  • Help transition financial processes from spreadsheets and manual workflows into a modern finance/accounting system.
  • Assist with the implementation of a new invoicing and billing platform.
  • Help establish standardized financial processes, controls, documentation, and workflows.
  • Review existing processes and identify opportunities to improve efficiency, accuracy, accountability, and reporting.
  • Maintain accurate financial data and investigate discrepancies or inconsistencies.
  • Support cash management and daily/weekly cash reporting.
  • Assist with customer invoicing, payment tracking, refunds, credits, and account reconciliation.
  • Work closely with the outside accountant to ensure information is accurate, complete, and available for tax and financial reporting.
  • Assist with the cleanup, organization, and standardization of existing financial information.
  • Create and maintain documentation and SOPs for financial processes.
  • Help identify opportunities to automate repetitive manual work.
  • Participate in the implementation of new technology and financial systems.
  • Work collaboratively with Operations, Sales, Shipping, HR, and leadership to improve financial processes across the organization.
  • Assist with other miscellaneous administrative, auction, and finance-related duties as needed.

Qualifications Required:
  • 2+ years of experience in accounting, bookkeeping, finance, accounts payable, accounts receivable, or a related field.
  • Strong attention to detail.
  • Strong organizational and problem-solving skills.
  • Proficiency with Microsoft Excel and/or Google Sheets.
  • Ability to work independently and manage priorities.
  • Ability to maintain confidentiality with sensitive financial information.
Preferred:
  • Experience with QuickBooks or another accounting/ERP system.
  • Experience with invoicing or billing platforms.
  • Experience with accounts receivable and collections.
  • Experience with process improvement or system implementation.
  • Experience working in a growing or changing organization.
  • Experience helping transition a business from manual processes to software-based systems.
  • Experience in an auction, equipment sales, automotive, or similar transactional business environment.
